JOB SUMMARY:

Under the direction of the Primary Care Nursing Manager, supervise their assigned Medical Assistant team. Responsible for the hiring, training, scheduling, and supervision of daily work assignments of the assigned Medical Assistant team. Will work with all Center departments to ensure that the patient experience is delivered in a timely, dignified, appropriate and caring manner, with a focus on patient care and satisfaction.


JOB DUTIES and RESPONSIBILITIES:
Medical Assistant may provide services and tasks as allowed in, Business and Professionals Code (BPC) Sections 2069-2071 Title 22 California Code of Regulations (CCR), Section 70217 (m) CCR, and Title 16 (CCR) sections 1366-1366.4. Under the supervision of a licensed physician, and podiatrist, or a physician assistant, nurse practitioner working under a physician’s written instructions.

  • Interpret, implement, enforce and periodically review and in collaboration with Clinical Leadership, make needed recommendations and revisions to Medical Assistant procedures.
  • Manage and supervise assigned direct-report staff, conduct annual performance appraisals, auditing of direct reports on maintaining compliance with guidelines and procedures, and taking corrective action as appropriate. Responsible for the hire of new direct-reports.
  • Responsible for scheduling of medical assistants, ensuring that sufficient staff is available for provider support according to center staffing guidelines, in coordination with the other Medical Assistant supervisors to coordinate coverage.
  • Determine the priority of daily activities and workload of medical assistants, as described by the geography of the office building and the needs of the scheduled providers.
  • Responsible for ensuring that newly hired medical assistants have an adequate skill base and ensuring that they get any needed training in deficient areas.
  • May be responsible for ordering clinical equipment and supplies, maintain adequate stock of immunizations and office medicines.
  • Coordinate with the Clinical Leadership in developing regular training sessions for medical assistants.
  • Determines priorities in workload and completes projects in an accurate and timely manner.
  • Ensures that medical assistants are compliant with all safety requirements in accordance with clinic risk management and safety policies and procedures.
  • Establishes and maintains effective communication and interpersonal skills to contribute to a positive work environment.
  • Will be an expert and provide oversight and supervision in all duties, responsibilities, and general job description of the supervised Medical Assistants as described below:
    a. Prepare the examination room for patients, keeping treatment rooms neat, clean and stocked
    b. Prepares patients for provider visit:
    1. Weigh and measure clients
    2. Take client vital signs,
    3. Follows CHDP periodicity recommendations for pediatric visits
    4. Obtains patient intake information per center protocols.
    5. Documents data in electronic medical record.
    6. Prepares room for next patient.
    c. Assist provider with procedures and tests as needed
    d. Performs point of care testing as ordered by provider or by protocol
    e. Administer medications and adult or pediatric immunizations as ordered by providers
    f. Assume responsibility for continuity of client care activities including but not limited to sending out specimens, referring to specialists, calling back clients, making confirmation calls, acting under protocol and sending letters to patients with negative lab results and scheduling appointments as needed
    g. Keep providers apprised of any client concerns during the time clients are in the clinic
    h. Complete, process and record patient paper and electronic forms as needed: Prior Authorizations, Treatment Authorization, DMV, WIC, school forms etc.
    i. Manages “eCW jelly beans” setting up medication refills, following up on lab results, documents, and telephone encounters. Ensures that jelly beans are managed when co-workers or providers are out of the office
    j. Participates as needed during clinic emergencies
    k. Provide routine oral and written client instruction as directed by the provider
    l. Cleans and sterilize instruments, calibrate and complete quality control procedures, and routine care and cleaning of equipment
    m. Cleans children’s toys in waiting area and treatment areas
    n. Assist in interpreting non English-speaking clients if sufficiently proficient in the client’s language
    o. Supports as needed when additional MA help is needed. duties as assigned

  • Use appropriate ergonomic measures to reduce risk of work-related injuries
  • Utilizes proper body mechanics and Universal precautions


KNOWLEDGE, SKILLS AND ABILITIES


Knowledge of:

  • Community clinic or medical office operations
  • Full scope of practice for a Medical Assistant
  • Pertinent federal, state and local laws and regulations regarding issues affecting licensed community clinics, e.g., OSHA requirements.


Skills in:

  • Oral and written communication; bilingual (English/Spanish) preferred
  • Organization of work and attention to detail
  • Using standard medical office equipment and performing standard clinic medical and laboratory tests
  • Using eCW proficiently and understanding all components of the Center’s electronic health record


Ability to:

  • Share the EDCCHC mission and work well in a team environment
  • Develop rapport and work with people of all ages, cultural, religious, social and ethnic backgrounds
  • Be courteous and utilize professional behavior in all interactions with the public and staff
  • Maintain a high level of confidentiality of client information
  • Appropriately deal with difficult situations with staff and patients
  • Make decisions within certain prescribed limits according to Policies and Procedures
  • Determine priorities in workload and meet established deadlines
  • Work in collaboration with your Team, other MA Supervisors and the Center staff
  • Work in a fast-paced environment with frequent interruptions and maintain a positive disposition at all times
  • Be flexible in accepting, changing or carrying out assignments

QUALIFICATIONS


Experience:

  • Minimum of three years of experience in a medical office or fast-paced outpatient clinic performing medical assisting functions is required
  • Minimum of one year of previous supervisory experience or increased job responsibility in back-office clinic duties is preferred


Education and Certification:

  • Medical Assistant Certification from an accredited teaching establishment required
  • National or State MA Certification preferred
  • Current CPR Certification preferred
  • Current, clear, unsuspended, California Driver’s license required

Physical Requirements:

The ability to work in normal health center/interior office environment: See, hear, talk, walk, sit and/or stand for long periods of time, reach, stoop, bend, lift and/or carry up to 50 lb., transfer clients of any weight; repetitive hand movement; use and view a computer, operate fax, copier, telephone; read and write English.
