Position Summary
Academia Azteca is seeking an energetic, caring, and motivated individual to serve as the Program Coordinator. The Program Coordinator supports the planning, overseeing, managing, coordination, and implementation of all programs under Academia Azteca, including youth and adult offerings. This role helps create enriching, joyful, and culturally responsive experiences that reflect El Concilio’s mission to uplift and empower Latino families.This position works directly with youth of different ages / adult participants of programs as well as volunteers and other staff from El Concilio ensuring programs and events run smoothly, feel welcoming, and foster a positive sense of community.
Key Areas of ResponsibilityProgram Coordination & Implementation (Youth & Adult Programs)
- Coordinate daily operations for programs under Academia Azteca, including scheduling, attendance, registration, and communication with families, volunteers, partner organizations, and peers from El Concilio.
- Collaborate with the Program Director on curriculum planning to maintain high-quality, culturally relevant, and bilingual/bicultural programming.
- Collaborate with the Program Director towards meeting goals.
- Ensure that all programs follow El Concilio policies, safety expectations, and cultural standards.
- Create program materials such as flyers, calendars, newsletters, and other communications.
- Lead lesson plans and support instruction for youth programs
- Ensure programs are goal-oriented, engaging, and responsive to participant needs.
- Maintain consistent communication with students, staff, instructors, and community partners.
- Assist in planning, organizing, and executing events, performances, workshops, and community celebrations for Academia Azteca.
- Coordinate event logistics including space setup, materials, volunteers, and participant communication.
- Track attendance and maintain accurate program records.
- Create a welcoming and safe space for participants.
- Support in the organization and daily maintenance of work space.
Youth, Adult, & Family Engagement
- Build respectful and supportive relationships with youth participants, adult learners, and families.
- Communicate program updates, schedules, and expectations to parents/guardians and participants.
- Support family-centered educational events, workshops, and program celebrations.
Administrative & Team Support
- Supervise Youth Development Coaches, including training, scheduling, and task delegation.
- Coordinate volunteer onboarding, scheduling, supervision, and documentation, including background checks and required forms.
- Collaborate with cross-department teams to support organization-wide initiatives
- Attend staff meetings, retreats, professional development, and required trainings.
- Foster a positive, inclusive, and safe work environment.
- Maintain accurate attendance, enrollment, and program documentation.
- Assist with evaluation efforts including data collections, surveys, and tracking program outcomes.
- Contribute to weekly, monthly, and quarterly reports.
Events Support
- Support El Concilio’s fundraising events throughout the year.
- Represent El Concilio at community events and outreach activities as needed.
- Provide support during occasional weekend events.
Qualifications and Skills
- Valid Driver’s License (REQUIRED).
- Bilingual in Spanish & English (REQUIRED).
- Ability to pass all background checks and fingerprinting (REQUIRED).
- Minimum 18 years of age with a High School Diploma; Post-Secondary Degree preferred.
- At least 1 year of experience working in youth, teen, family, or community programming.
- Proficient in Google Workspace, basic office equipment, and virtual meeting tools (e.g., Zoom, Google Meet).
- Strong Organizational, Communication, and Time Management Skills.
- Ability to work in a team environment while independently managing program logistics and day-to-day tasks.
- Ability to manage multiple priorities with strong attention to detail.
- Comfortable working with diverse communities and individuals from various backgrounds.
- Availability Monday through Friday, 11:00 AM to 7:00 PM; schedule may vary and will be discussed during the interview process.
- Ability to travel locally as needed for program support and community events.
- Ability to lift/move up to 25 lbs for programs/events materials.
- Ability to supervise and participate in active youth programming.
- Per work requirements a Tuberculosis (TB) test must be completed.
