Position Overview:
Under the direction of the Regional Administrator, the Clinic Coordinator oversees daily clinic operations to ensure efficiency, accuracy, and high-quality patient service. This role manages administrative functions including patient payments, billing processes, purchase orders, and financial documentation. The Clinic Coordinator is responsible for timely reporting, maintaining compliance with regulatory standards, and ensuring smooth clinic operations.
What You Will Do:
- Manage daily clinic operations, including patient flow, provider scheduling, and front-office functions, while providing hands-on support and traveling to satellite locations as needed.
- Ensure compliance with HIPAA, ADA, and OSHA regulations, including maintaining licensure requirements, coordinating safety drills, and promoting a safe clinical environment.
- Oversee patient and insurance billing processes, purchase orders, and financial documentation to ensure accuracy and accountability.
- Lead monthly staff meetings and provide coaching and performance feedback to support team development and operational excellence.
- Serve as the primary liaison between clinic staff, providers, and the Regional Administrator, translating organizational goals into actionable clinic initiatives.
- Address patient concerns and operational issues, fostering a culture of professionalism, accountability, and exceptional customer service.
- Collect and analyze clinic data to support decision-making and participate in quality improvement initiatives to enhance patient care and outcomes.
- Maintain current professional knowledge through continuing education and ensure administrative and medical records teams have the tools and resources needed for success.
- Perform other duties as assigned.
Minimum Qualifications:
- High school diploma or GED.
- One year of management and customer service experience in a related field.
- Experience using Electronic Health Record (EHR) systems.
- Strong verbal, written, and interpersonal communication skills.
Preferred Qualifications:
- Associate degree in Business, Finance, or a related field.
- Minimum of one year of experience in medical records within a hospital or clinic setting.
- Bilingual in English and Spanish.
- Knowledge of medical terminology, health insurance claims, Medicaid, and Medicare processes.
- Three years of experience managing a healthcare office or similar setting, including at least two years in a supervisory role.
Physical Requirements:
- Ability to balance, bend, lift, carry, and pull up to 20 lbs.
- Ability to sit and stand for extended periods, typically longer than four hours.
- Flexibility to work a varied schedule, including evenings, weekends, or as needed.
- Manual dexterity and ability to use hands and fingers for feeling, grasping, and operating office equipment.
- Adequate hearing ability for communication and monitoring office environments.
- Good vision for reading documents, operating office equipment, and observing surroundings.
- Capability to stoop, crouch, crawl, or kneel as necessary for office tasks.
- Ability to talk clearly and effectively for communication.
