About the Role
We’re looking for a highly organized, proactive, and resourceful Executive Assistant to support senior leadership at Eightpoint. This role goes beyond traditional administrative support. You will act as a strategic partner, helping optimize time, streamline operations, and leverage modern tools.
Key Responsibilities
Executive Support
- Manage complex calendars, scheduling, and prioritization across multiple stakeholders
- Coordinate internal and external meetings, including agendas, prep materials, and follow-ups
- Handle email triage and communications on behalf of executives when needed
- Arrange travel logistics, itineraries, and accommodations
Operations & Coordination
- Support day-to-day operational workflows across leadership priorities
- Track key initiatives, deadlines, and deliverables
- Prepare reports, presentations, and briefing materials
- Assist with special projects, research, and ad hoc tasks
AI & Productivity Enablement
- Leverage AI tools (e.g., ChatGPT, Notion AI, automation tools) to draft communications, summarize information, and improve workflows
- Identify opportunities to automate repetitive tasks and increase efficiency
- Support executives in adopting AI tools for decision-making, research, and productivity
- Stay current on emerging AI tools and recommend improvements to internal processes
Communication & Relationship Management
- Serve as a point of contact between executives and internal/external partners
- Maintain strong relationships with team members, investors, and partners
- Ensure smooth communication flow across the organization
Strategic Enablement
- Anticipate executive needs and proactively solve problems
- Identify opportunities to improve processes and efficiency
- Help maintain focus on top priorities by filtering noise and managing competing demands
Who You Are
- 2 years of experience supporting executives, founders, or senior leaders
- Demonstrated experience using AI tools to improve productivity and workflows
- Exceptional organizational and time management skills
- Strong written and verbal communication
- High level of discretion and professionalism
- Ability to operate independently and make sound decisions
- Comfortable in fast-paced, ambiguous environments
Preferred
- Experience in startups, venture, consulting, or high-growth environments
- Familiarity with tools like Google Workspace, Notion, Slack, and calendar management platforms
- Experience implementing or experimenting with AI-driven workflows or automations
- Strong attention to detail with a bias toward action
