Operations & Systems Manager

We're looking for an Operations & Systems Manager to help us build the systems, processes, and foundation that will power the next stage of growth for our restaurant-focused accounting firm.
Part-time (~20 hours/week) with a clear path to full-time.
THE OPPORTUNITY
We're a Chicago-based modern, cloud-based accounting firm that works exclusively with independent restaurants and hospitality businesses. We've worked in restaurants ourselves, so we know what it's like to deal with long shifts, payroll headaches, staffing challenges, surprise equipment failures, and the constant pressure of running a profitable operation. You'll start part-time (approximately 20 hours per week) with a path to full-time as the firm grows. We're flexible on when those hours are worked. What matters most is responsiveness, ownership, and keeping projects moving—not punching a clock.
As we continue to scale, this role has the potential to evolve into a leadership position, whether that's leading people, owning strategic initiatives, or both. You'll have the opportunity to help shape not only our systems, but how the business grows in the years ahead.
Location
This is a fully remote position. While we welcome applicants from across the U.S., preference will be given to candidates located in the greater Chicago area, as we meet in person periodically for planning sessions, collaboration, and team-building.
WHAT YOU'LL DO
You'll partner directly with the CEO, Controller, and Client Success Manager to improve how the business operates, helping the team spend less time fighting fires and more time delivering an exceptional experience for our clients.
Build scalable workflows
· Identify bottlenecks, improve processes, and implement practical solutions that help the team work more efficiently and consistently.
Lead AI & automation strategy
· Evaluate emerging AI tools and automation opportunities, recommend practical solutions, and implement technology that reduces manual work, improves accuracy, and helps the firm scale smarter.
Own our technology ecosystem
Administer, troubleshoot, and optimize our cloud-based tech stack—including Restaurant365, QuickBooks, Financial Cents, LiveFlow, Zapier, and other cloud applications that power the firm.
Create systems that scale
· Document, refine, and maintain clear SOPs so work is consistent, repeatable, and easy for the team to follow as we grow.
Keep projects moving
· Coordinate internal initiatives, anticipate roadblocks, and ensure priorities stay on track without requiring constant oversight.
Champion continuous improvement
· Challenge existing processes, bring fresh ideas, and continuously look for ways to simplify, automate, and improve how we operate.
Support exceptional client delivery
· Help ensure client onboarding, payroll mapping, and restaurant-specific workflows run smoothly, efficiently, and consistently.

WHAT YOU NEED TO SUCCEED
· 3-5 years of operations, workflow management, or project management experience in accounting or professional services (preferred, but strong ops experience elsewhere can work)
· A systems mindset, you see inefficiency and think "how do we fix this?"
· Proven ability to document, implement, and improve processes
· Strong technology aptitude, comfortable learning & implementing cloud-based software
· Exceptional organizational skills and the ability to juggle priorities without dropping the ball
· The discipline to work independently in a fully remote environment
Bonus points:
· Experience in public accounting
· Familiarity with restaurant POS systems
· Background in process & systems improvement
· Experience serving restaurants or hospitality businesses
