Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression of the organization
- Manage multi-line phone systems to answer inquiries, transfer calls, and take messages efficiently
- Handle incoming and outgoing correspondence, including emails and mail distribution
- Maintain a tidy and organized reception area, filing systems, and common spaces
- Support office management tasks such as calendar management, appointment scheduling, and data entry
- Assist with clerical duties including proofreading documents, preparing reports, and maintaining records
- Utilize computer skills to operate Microsoft Office Suite, Google Workspace applications, QuickBooks, and other office software
- Perform basic bookkeeping tasks such as invoicing and expense tracking when needed
- Manage office supplies inventory and coordinate with vendors for procurement
- Provide customer support by addressing inquiries promptly and professionally while maintaining excellent phone etiquette
- Support administrative functions like filing, photocopying, scanning documents, and organizing files
Skills
- Proven experience in front desk or receptionist roles with strong organizational skills
- Excellent communication skills in both English and bilingual settings (if applicable)
- Proficiency in multi-line phone systems and office management software such as Microsoft Office, Google Workspace, QuickBooks
- Strong clerical experience including data entry, proofreading, filing, and calendar management
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette
- Computer literacy with the ability to quickly adapt to new software tools
- Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment
- Experience with bookkeeping or personal assistant responsibilities is a plus
