POSITION SUMMARY
We are seeking a highly organized, proactive Executive Assistant to support the President and Chief of Staff. This is a full-time, in-person, salaried role based at the company's Central Michigan office.
The ideal candidate anticipates needs before being asked, owns the President's calendar, inbox, and meeting cadence, and serves as a trusted gatekeeper and right hand. This role offers real room to grow. Team members who thrive in this seat have a clear path toward expanded responsibility, including the potential to move into an operations-focused role over time.
WHAT YOU'LL DO
Executive & Calendar Support
- Manage and prioritize the President's inbox, proactively handling and scheduling items rather than waiting for direction
- Own calendar management, anticipating scheduling needs weeks in advance and flagging conflicts before they become problems
- Serve as a gatekeeper for the President's time, working with those who need his attention and determining what can be handled without him
- Sit in on meetings, take notes, and manage follow-up in the company's meeting software, tracking action items through to completion
- Prepare the President and Chief of Staff for meetings so they can show up ready, without needing to gather their own materials
EOS & Process Support
- Support EOS processes including Rocks (goals), to-dos, and scorecard metrics
- Help build and document repeatable processes and systems
- Use AI tools to help automate and streamline day-to-day work, and collaborate with the company's AI engineer on relevant projects
Administrative & Light Bookkeeping
- Perform light data entry and basic QuickBooks support for company rental properties and related entities
- Track renewals, deadlines, and vendor relationships, including insurance applications and periodic filings
- Support new client onboarding by entering pricing, memos, and account details into internal systems
- Assist with HR administrative tasks, including onboarding document collection and coordination with the company's outsourced HR partner
- Help distribute internal communications and notices to employees, such as benefits enrollment reminders
Office & Team Support
- Provide general office support and coverage as needed, including answering phones, greeting visitors, and filing
- Serve as flexible support to the broader team during busy periods or staff absences
- Assist with occasional local and business travel coordination
Personal Support
- Provide light personal assistance to the President and Chief of Staff, such as scheduling appointments, coordinating family calendars, and handling occasional errands, to help free up their time and focus
WHAT WE'RE LOOKING FOR
- 3 years of experience in an administrative, executive assistant, or office management role
- A proactive mindset. You anticipate what's needed next rather than waiting to be told
- Comfort supporting two leaders and prioritizing competing needs with good judgment
- Basic bookkeeping or QuickBooks familiarity is a plus
- Strong technology skills and comfort learning new tools, including AI-based productivity tools
- Excellent written and verbal communication
- Reliable transportation and a clean driving record (mileage reimbursed for work-related driving)
- A high degree of discretion, given regular exposure to confidential and sensitive information
- Genuine alignment with the company's core values: Trust and Loyalty, Tenacious, and Continuous Self-Improvement
GROWTH PATH
This is not a role with a ceiling. The company is looking for someone who wants to grow with it. Team members who demonstrate strong performance and operational aptitude have a real path toward expanded responsibility over time, including the potential to move into an operations-focused role.
SCHEDULE & WORK ENVIRONMENT
- Monday through Friday, approximately 8:00 AM to 4:30 PM, in-person
- On-site parking and convenient office access
- Occasional local errands may be required; mileage is reimbursed. No overnight or out-of-state travel expected
COMPENSATION & BENEFITS
- $50,000 - $70,000 based on experience
- Health insurance, with the company contributing $325 per month toward premiums
- Dental, vision, and life insurance eligible after 90 days, including a company-paid $15,000 life insurance policy
- 401(k) with company match up to 4%
- Paid time off, beginning to accrue on day one
- Personal development support, including company-provided books and quarterly goal-setting (Rocks)
Salary : $325
