The Executive Assistant is a trusted partner to the President and CEO, serving as the primary point of contact for internal and external stakeholders on all matters relating to the Office of the President. This individual will ensure the office runs smoothly by managing priorities, coordinating communication, and supporting strategic initiatives.
The ideal candidate:
- Proactively anticipates needs and ensures the CEO is focused on high-impact activities.
- Is detail-oriented and maintains exceptional accuracy across all tasks.
- Acts as a gatekeeper for the CEO, prioritizing time and commitments effectively.
- Is tech-savvy and confident using digital tools and systems.
- Is curious and improvement-minded, offering thoughtful suggestions to enhance processes.
Executive Support & Coordination – 50%
- Manage the CEO’s complex schedule, meetings, and travel arrangements.
- Screen and prioritize access to the CEO, exercising sound judgment in managing competing demands.
- Draft and manage executive communications with clarity, professionalism, and timeliness.
- Plan and coordinate executive and Board meetings, including logistics, agendas, and materials.
- Support Board relations by maintaining records, profiles, and committee logistics.
- Prepare presentations, briefings, and supporting documents for leadership initiatives.
Project Management – 30%
- Lead and support special projects, initiatives, and events as assigned.
- Track progress, prepare reports, and ensure accountability for follow-up actions.
- Provide office coordination, vendor support, and assistance with budget tracking.
- Support onboarding and workspace readiness for new employees.
Records & Systems Management – 20%
- Maintain electronic databases, documents, and record-keeping systems.
- Provide technology support for presentations and communications.
- Ensure compliance with policies for data management and confidentiality.
Confidentiality & Operational Excellence – Always
- Uphold the highest standards of discretion in managing sensitive information.
- Apply strong organizational and technology skills to ensure efficiency.
- Model values-based behavior and reinforce a culture of trust, respect, and accountability.
- Execution & Results: Manages complex schedules, logistics, and deadlines with precision.
- Proactive Problem-Solving: Anticipates needs and navigates shifting priorities.

- Communication & Influence: Communicates with clarity and consistency, tailoring style to diverse stakeholders.
- Minimum 3 years’ experience as an Executive Assistant to C-Level or VP-level leadership.
- At least 1 year supporting Board members.
- Expert-level written and verbal communication skills.
- Advanced MS Office Suite and cloud-based calendar management skills.
- Strong judgment, confidentiality, and organizational abilities.
- Bachelor’s degree preferred (high school diploma or equivalent required).
- Pay Range: $70,000 – $90,000 per year
