As a Tour Director Allocations Specialist, your primary responsibility is to schedule and assign Tour Directors to student tours across the U.S. using EF’s internal systems, phone, and email. You’ll play a critical role in ensuring the right Tour Director is matched to the right tour—balancing availability, experience, and destination fit—while maintaining clear, timely communication throughout the process.

Description
As a Tour Director Allocations Specialist, your primary responsibility is to schedule and assign Tour Directors to student tours across the U.S. using EF’s internal systems, phone, and email. You’ll play a critical role in ensuring the right Tour Director is matched to the right tour—balancing availability, experience, and destination fit—while maintaining clear, timely communication throughout the process.
Key Responsibilities
Tour Staffing and Coordination:
- Collaborate closely with Tour Director Managers and cross-functional teams to understand tour needs and manage last-minute changes.
- Ensure every tour is staffed with a qualified and enthusiastic leader (Tour Director).
- Serve as the key point of contact for Tour Directors before their tours, providing support and necessary information.
- Allocate all local Guides who live in the destination and provide in-depth city knowledge, complementing the Tour Directors' expertise.
- Liaise with internal stakeholders across other EF products (e.g., EF Language Travel, Go Ahead Tours, Ultimate Break) to coordinate staffing needs across the business.
- Work daily within EF's internal scheduling platforms and leverage tools like Power BI and Microsoft Excel to analyze data and forecast staffing needs.
- Maintain detail-oriented data accuracy by updating records, tracking availability, and pulling reports to inform allocation decisions.
- Troubleshoot technical issues, support others with tech questions, and be quick to learn new platforms.
- Utilize collaboration tools like Teams and SharePoint to stay connected and organized across departments.
- Bachelor’s Degree
- 1-2 years of work experience
- Demonstrated proficiency with the Microsoft Office suite including: Excel (XLookup, Automations, Pivot Tables), Word, PowerPoint, Outlook, etc.
- You love making systems work smarter
- Demonstrate a high level of organization and adaptability
- Possess a passion for building strong relationships with our nationwide Tour Director community
- Exceptionally strong communicator
- Able to think critically and creatively to problem solve
- Ability to build strong relationships externally and internally
- Excellent time management and organizational skills with ability to meet deadlines
- Tech-savvy – ability to quickly learn platform functionality and use successfully
- Driven team player with a strong work ethic
