Job Title: Bookkeeper/Clerical Assistant Parttime-Hourly
General Summary of Duties:Maintains financial records and general ledger related to accounts payable, accounts receivable, payroll, and manages database for donations. Works closely with Complex Manager, Finance Committee, Board Treasurer, and Executive Director.
Supervision: Reports directly to the Complex Manager
Typical Physical Demands:Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity enough to operate a keyboard, photocopier, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Be able to lift 40# of supplies or equipment.
Typical Working Conditions:Normal office conditions, outdoor sports complex conditions requiring flexible work schedule with weekend and evening assignments to accommodate events and special projects. Some seasonal variance in assignments.
Examples of Duties:(This list may not include all duties assigned)
- Keeping records of financial transactions in accordance with accepted accounting principles and within ESC policies and procedures.
- Verifies and enters details of transaction from data sources such as invoices, checks, inventory, and donation management.
- Balances transactions and assures accuracy of reporting such as accounts payable and receivable, profit and Loss statements, Balance Sheet, bank statement reconciliation, and other pertinent information for analyzing and reporting of operational activities. Confirms any discrepancies or verifies reporting with the Board Treasurer.
- Maintains chart of accounts, accounting software, donation management software, including backup verifications.
- Maintains strictest confidentiality concerning Complex policies, procedures, and financial information.
- Have in office hours on Wednesdays to meet with Executive Director to review invoices and payroll.
- Informs the Complex Manager and Board Treasurer of any operational problems.
- Prepare agenda and financial report for Board of Director’s monthly meeting and take minutes. Attends meeting or conferences as assigned and reports on major points.
- Handles variety of matters involving contact with various volunteers, board members, committees, government agencies, and the public.
- Composes correspondence and disseminates to appropriate individuals.
- Assists in compiling financial, statistical date and reports as assigned.
- Performs all related work as required.
Performance Requirements:(Knowledge, Skills, and Requirements)
Knowledge of organizational policies, procedures, and systems. Knowledge of office management techniques and practices. Knowledge of computer systems and applications. Examples of applications currently used are QuickBooks, Microsoft Suite, Database for donations, Google Drive, and electronic credit card processing. Knowledge of purchasing, budgeting, and inventory control. Skilled in the operation of office equipment. Ability to establish and maintain effective working relationships with other employees, volunteers, and the public. Ability to communicate and present information. Ability to establish priorities and coordinate work activities.
Education:High School diploma required, associate’s or bachelor’s degree a plus, advanced software or clerical certifications a plus.
Experience:Documented years’ bookkeeping/clerical experience with references.

Expected hours: 15 – 25 per week
