About the Role:The Payroll Coordinator supports the company’s payroll operations across both field and office teams. You will play a key role in processing accurate and timely payroll, maintaining employee records, and ensuring proper allocation of labor hours to job cost codes across active construction projects.
This is a hands-on operational role that works closely with Accounting, HR, and Project Management teams. You will help ensure payroll data integrity, resolve timecard and coding discrepancies, and support accurate labor reporting across multiple projects.
This role is ideal for someone who is detail-oriented, highly organized, and interested in building a long-term career in construction accounting and payroll operations.
Job Duties:- You will process weekly/bi-weekly payroll for both field and office employees, ensuring accuracy, timeliness, and adherence to company payroll procedures.
- You will review and validate employee timecards, labor coding, and job cost allocations, working with Project Managers and field teams to resolve discrepancies.
- You will ensure proper application of overtime rules, shift differentials, and other pay structures as applicable.
- You will maintain accurate payroll records, employee files, and labor history within payroll systems.
- You will coordinate with Accounting and Project Management teams to ensure accurate job costing and labor distribution across projects.
- You will prepare payroll reports, labor summaries, and audit support documentation for internal use.
- You will serve as a point of contact for employee payroll inquiries, including pay statements, deductions, and time reporting questions.
- You will support HR with employee status updates including new hires, terminations, job code changes, and compensation adjustments.
- You will assist in reconciling payroll data with accounting and job cost systems to ensure accuracy and alignment.
- You will help maintain payroll system integrity and support updates, process improvements, and system integrations across payroll and timekeeping platforms.
- You will manage prevailing wage compliance requirements, including fringe benefit contributions, and related reporting obligations.
- You will ensure compliance for the self-perform field team by maintaining required labor documentation and supporting audit readiness.
- You will prepare and submit certified payroll reports through systems such as LCPtracker and DIR (Department of Industrial Relations) in accordance with project and regulatory requirements.
- You will support the preparation and submission of DAS (Division of Apprenticeship Standards) forms, coordinating with internal teams to ensure accurate apprenticeship reporting and compliance tracking.
- 2–5 years of payroll experience, preferably in construction or job-cost environments
- Basic understanding of payroll processes, wage rules, and tax requirements
- Experience processing multi-state payroll preferred
- Familiarity with union payroll or prevailing wage environments is a plus (not required)
- Proficiency with payroll and timekeeping systems (Sage, Miter, DocuSign or similar)
- Strong understanding of job cost coding and construction accounting concepts preferred
- High attention to detail and accuracy in a deadline-driven environment
- Strong organizational skills with the ability to manage multiple priorities
- Ability to communicate effectively with field teams, project staff, and accounting
- Detail-oriented with a strong focus on accuracy and data integrity
- Proactive and reliable with a strong sense of ownership

The typical hiring range for this position is $25 – $30 USD per hour, with the final hourly negotiable based on skills, experience, and qualifications.
