In a typical branch office, a financial advisor meets with clients and receives branch office support, so they can focus on building deep relationships with clients. Headquarters associates in St. Louis, Tempe and Mississauga provide support and expertise to help U.S. and Canada branch teams deliver an ideal client experience. We continue to grow to meet the needs of long-term individual investors.
The Senior Event Planner plans and ensures execution of firm meetings, training and events which includes the following responsibilities:
  • Main point of contact for the Business Owner:
    • Responsible for establishing and maintaining relationships with event business owners throughout the firm
    • Attend meetings with the business owners to gather meeting requirements, provide templates and updates, and provide expertise and knowledge around T&EM to the business owner.
    • Proactively conduct an annual planning process with business owners.
    • Hold business owners accountable for the agreements that have been set.
    • Educate business owners on the process and guidelines.
    • Manage and lead projects as needed.
  • Lead planning for events:
    • Responsible for planning variety of events that may include large scale of 500 attendees, Home Office events, training classes, senior leadership meetings, etc.
    • CVENT registration build & hybrid needs, including mobile app
    • Outline and establish project plans/timelines and communicate to stakeholders to implement event details.
    • Work with the other teams (Execution, Service, Data/Reporting) on meeting and reporting requirements and knowledge about the event. Bring in other team members as appropriate.
    • Providing industry knowledge and trends best suited for event type and audience
    • Review event details (e.g. agendas, lists)
    • Oversee on-site support
    • Make recommendations for site and vendor selection and negotiate one-time contracts as needed (e.g. guest speakers, production, hotels, etc.)
    • Manage the costs of the event against cost projections and communicate appropriately
    • Conduct event and space planning (take requirements and transfer them into available space)
    • Conduct post-event evaluations to determine how future events could be improved
Travel and Event Management Activities :
  • Work with leadership and the team to set event best practices
  • Identify and implement operational efficiencies by collaborating with leadership and the department.
  • Establish best practices, Standard Operating Procedures (SOPs) and Written Supervisory Procedures (WSPs) in collaboration with leadership and team
  • Assist leadership in shaping department strategy through a full understanding of the firms vision to identify long term impact.
  • Appropriately escalate situations to department leadership
Communication and Collaboration Activities:
  • Communicate to appropriate stakeholders for all decisions.
  • Positively represent the department outside with project and committee contributions as needed
  • Collaborate with Event Planners to ensure consistency and share best practices
Self and Other Developmental Activities:
  • Build self and department performance management skills by engaging in development activities (e.g. observations, soliciting and providing feedback, etc.)
  • Mentor Event Planners
  • Engage in Firm's efforts in Diversity and Inclusion
  • Participate in industry opportunities such as events, webinars, podcasts, etc.
  • Bachelor's degree required or equivalent work experience
  • Planning (CMP) license preferred
Minimum Years of Experience Required
  • 5 years of event planning experience required
Knowledge/Skills/Abilities
  • Knowledge of:
    • Negotiation processes
    • Cost management and budgeting
    • Risk Management
    • Customer Service
    • Experience Design
  • Decision and Problem solving skills including critical thinking
  • Strong written and verbal communication skills
  • Planning, organizing, and time management skills
  • Intermediate computer skills are required, including effective use of Microsoft Office applications and web browsers.
  • Cvent experience is preferred
Candidates that live within a commutable distance from our St. Louis, MO, and Tempe, AZ, home office locations are expected to work in the office three days per week, with preference for Tuesday through Thursday.
