Performance Responsibilities and Job Tasks
The Events Assistant supports the Professional Learning team by coordinating student events, managing communications and marketing efforts, assisting with contracts and scheduling, and providing project and grant management support. This position helps ensure the successful planning and implementation of events, programs, and initiatives by maintaining timelines, tracking deliverables, coordinating logistics, managing registration processes, and supporting communication with schools, presenters, and partners. The coordinator serves as a key organizational resource, helping the department operate efficiently while advancing the mission of serving, supporting, and empowering schools across the ESU 13 region.
Essential Functions
- Complies with the Standards for ESU #13 Employee Performance & Code of Ethics and executes district policies and procedures appropriately.
- Model positive regard for programs in the community.
- Basic proficiency in creating and designing promotional materials, including flyers and digital content, using tools such as Canva, social media platforms, and Google Workspace applications.
- Maintain standards of confidentiality regarding program, staff, children and families.
- Perform other tasks or duties as assigned by the ESU 13 Administrator, Director or other supervisors.
- Complies with the ESU 13 Code of Ethics.
Events & Project Responsibilities
- Coordinate logistics for student events, workshops, conferences, and other Professional Learning initiatives.
- Manage registrations, participant communication, sign-up forms, attendance records, and event materials.
- Assist with project-related scheduling activities for Professional Learning staff.
- Monitor project and grant timelines, helping ensure deadlines, deliverables, and reporting requirements are met.
- Maintain accurate records, documentation, and organizational systems related to projects, grants, contracts, and events.
- Assist with contracting processes, including communication with presenters, consultants, vendors, and partner organizations.
- Support planning and implementation of the Mid-Winter Conference and other large-scale regional events.
- Develop and distribute promotional materials, newsletters, email communications, and event announcements.
- Maintain communication calendars and support outreach efforts to schools, districts, and educational partners.
- Coordinate event-related logistics including facilities, supplies, catering, technology needs, and participant support.
- Collaborate with team members to provide organizational and administrative support that advances departmental goals and priorities.
- Demonstrate exceptional customer service, professionalism, and attention to detail while serving schools, staff, presenters, and stakeholders.
Working Conditions
- Inside heated and air conditioned facility
- Outside for activities with students and student supervision.
At-Will Position:
This position is an “at-will” position and may be terminated, with or without cause, at any time in the sole discretion of the ESU 13 Administrator or ESU 13 Administrator’s designee.
