What are the responsibilities and job description for the Parent Assistance Clerk position at EDUCATION SUPP CTR?

Primary Purpose

  • Provide secretarial services to the Director of Parent Assistance Center. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.

Qualifications

Education/Certification

  • High school diploma or GED

Special Knowledge/Skills

  • Effective communication and interpersonal skills
  • Strong organizational and file maintenance skill
  • Proficient skills in typing, word processing, spreadsheet, and database management
  • Ability to maintain confidentiality
  • Ability to work both independently and collaboratively

Experience

  • Minimum of 3 years office experience preferably in an educational field

Major Responsibilities and Duties

  1. Perform usual office routines and practices associated with a productive office, including, but not limited to, typing correspondence, maintaining accurate records and files, mail distribution, etc.
  2. Assist other secretaries as needed.
  3. Assist in disseminating policy information to parents and staff.
  4. Maintain files and assist with grievance timeline and scheduling of meetings. 
  5. Maintain travel records and assist in setting up travel itinerary.
  6. Maintain parent contact log.
  7. Establish and maintain files and provide information from the files when requested.
  8. Exercise excellent telephone etiquette and respond appropriately to inquiries and requests from the community and district staff in all areas of job responsibility.
  9. Research, coordinate, prepare, and organize communication and information for distribution to district personnel.
  10. Maintain confidentiality regarding staff and student information.
  11. Maintain and safeguard all confidential records and information.
  12. Establish and maintain cooperative and supportive relationships with customers.
  13. Manage time and materials in an organized and effective manner.
  14. Prioritize tasks and manage workflow to meet deadlines.
  15. Exhibit CCISD Core Values of trustworthiness, respect, responsibility, fairness, caring, and citizenship.
  16. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD.
  17. Stay up-to-date professionally through the selection of quality professional learning opportunities for personal growth.
  18. Research district policy, precedent, and current practices prior to taking action.
  19. Participate as an effective team member who contributes to district, department, and content goals.
  20. Demonstrates proficient levels of technology applications.
  21. Participates fully in drills and safety exercises to provide for the safety and overall emotional well-being of students.
  22. Utilize time wisely for effective management of job responsibilities.
  23. Maintain punctuality in daily work times, appointments, and meetings.
  24. Meet task completion deadlines established by the supervisor.
  25. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers.
  26. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met.
  27. Maintain a positive and professional tone in all communication (i.e., email, written, and verbal).
  28. Perform other duties and accept other responsibilities as assigned.
