Overview
The Finance & Office Coordinator provides administrative, financial, and operational support to the Edmond Economic Development Authority (EEDA). This role is the backbone of day-to-day office administration — handling billing and basic bookkeeping, board and meeting preparation, document and records management, and general office coordination. The ideal candidate is detail-oriented, dependable, trustworthy with confidential information, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Administrative & Office Support
- Serve as the first point of contact for visitors, phone calls, and general inquiries.
- Coordinate meetings, schedules, and travel arrangements for the Executive Director.
- Maintain organized office files (digital and physical) and manage document retention.
- Manage office supplies, vendor relationships, and service contracts.
- Assist with onboarding and personnel file maintenance.
- Handle confidential information with professionalism and discretion.
Board & Meeting Preparation
- Prepare and distribute board packets, agendas, and minutes in compliance with the Oklahoma Open Meeting Act.
- Assist with planning and coordination of board and committee meetings.
- Ensure timely communication and distribution of materials to board members.
- Support compliance with public meeting requirements and documentation standards.
Billing & Bookkeeping
- Process accounts payable and receivable; prepare and send invoices as needed.
- Coordinate deposits and maintain entries in QuickBooks Online.
- Track expenses and assist with monthly financial reporting and summaries.
- Reconcile QuickBooks entries against bank statements.
- Maintain accurate financial records and support basic accounting processes.
Event Coordination
- Support planning and execution of EEDA events (typically 1–2 annually).
- Manage logistics including invitations, catering, venue setup, registration, and on-site coordination.
- Collaborate with vendors, partners, and staff to ensure events reflect EEDA's professional standards.
General Operational Support
- Perform other duties and responsibilities assigned to support the mission and goals of the EEDA.
Preferred Qualifications
- 3 years of experience in administrative, operations, or bookkeeping roles.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Working knowledge of QuickBooks Online or comparable accounting software.
- Strong attention to detail with excellent organizational, communication, and time-management skills.
- Knowledge of basic accounting principles and payroll coordination.
- Familiarity with Oklahoma's Open Meeting Act and public meeting procedures is a plus.
- Experience in a public trust, municipal, or nonprofit setting preferred.
- Interest in economic development and a desire to contribute to initiatives that support business growth and strengthen the local community.
Compensation
Commensurate with experience.
