PRIMARY PURPOSE:
The Secretary for Pupil Accounting will provide central office staff, campus principals and their staff with organization, guidance and support in order to ensure compliance with TEA Student Attendance Accounting Requirements
QUALIFICATIONS:
High School Graduate or GED
Excellent typing skills.
Extensive experience in spreadsheets, word processing and keyboarding.
A thorough knowledge TEA student attendance accounting and reporting requirements.
The ability to edit, manage, consolidate and convert digital data files in different formats such as Excel, CSV, PDF and Word
The ability to manage electronic file storage in the cloud such as Google Drive and OneDrive
Strong knowledge of Adobe Professional and Excel
The ability to handle delegated administrative details
The ability to write clear and concise memoranda, directives, or letters without close supervision
The ability to carry out instructions and develop comprehensive plans with a minimum of supervision
The ability to meet the public in a pleasant, composed, and cordial manner, and to speak clearly and effectively
The ability to establish and maintain effective working relations with all district employees as well as the general public
Bilingual skills (English/Spanish)
MAJOR RESPONSIBILITIES AND DUTIES:
- Assist with attendance in-service for principals and secretaries before the beginning of school and on going.
- Check daily attendance and membership summaries for assigned campuses.
- Answer calls and provides guidance pertaining to admissions and attendance.
- Assist school personnel with issues that may arise regarding attendance, admissions, and enrollment records.
- Review updates from Skyward and maintain the schools informed.
- Manage districtwide Skyward utility processes
- Conduct in-house audits for attendance and special programs every six weeks.
- Assist in the preparation and submission of district's PEIMS Data Reports to Texas Education Agency.
- Review edit lists send to the schools and provide assistance reconciling enrollment and attendance discrepancies.
- Assist in the preparation of in-district transfer requests for review and approval by the Superintendent and identify transfer students in student database.
- Compile and submit out-of-district transfer information to schools to identify in student database.
- Work cooperatively with outside agencies.
- Receives visitors, ascertains the purpose of the visit, attends to visitor’s business or refers him/her to the proper person or office.
- Maintains effective public relations with the general public.
- Keeps informed on local and state laws, rules and regulations.
- Reviews incoming and outgoing correspondence, memoranda, reports and similar materials for the purpose of summarizing and/or referring to proper persons.
- Performs necessary bookkeeping functions such as Out of District Transfer Tuition Statements and purchase requisitions.
- Assist with maintaining student records in an efficient manner.
- Performs all duties in a safe manner to avoid injury to oneself and/or to others.
- Ability to keep ethical work standards and handle confidential and security sensitive information.
- Performs other duties as assigned.
