Parts Specialist

Job Type: Full-Time
Schedule: 40 hours per week
Work Location: In-Person (Non-Remote)

Position Overview

We are seeking a reliable, detail-oriented Parts Specialist to join our office team. This position is primarily computer-based and focuses on identifying, ordering, and coordinating parts needed to complete open service repair jobs.

The Parts Specialist will review outstanding repair jobs, determine the parts required to complete repairs, process parts orders, and communicate with the warehouse to ensure parts are staged and ready when needed. This role also involves reviewing equipment diagrams, reviewing pricing information, communicating with customers, and generating repair estimates.

This is an excellent opportunity for someone who is organized, comfortable working on a computer, and enjoys problem-solving. Previous parts ordering or customer service experience is preferred, but it is not required. On-the-job training will be provided.

Key Responsibilities

  • Review open service repair jobs to identify repairs awaiting parts before completion.
  • Research, identify, and verify required parts using equipment diagrams, schematics, and other available resources.
  • Process parts orders accurately and efficiently.
  • Submit requests to the warehouse to have parts pulled and staged for upcoming repairs.
  • Track parts requirements and follow up as needed to help prevent delays in completing service jobs.
  • Review parts pricing and reference cost information.
  • Communicate professionally with customers regarding parts and repair-related matters.
  • Generate estimates for service repairs.
  • Maintain accurate records and update information related to parts, orders, and service jobs.
  • Coordinate with office staff, service personnel, and warehouse employees to keep repairs moving efficiently.
  • Perform other related administrative and parts coordination duties as needed.

Qualifications and Preferred Experience

Required Qualifications:

  • Basic computer skills and the ability to learn new software.
  • Basic writing skills and the ability to communicate clearly and professionally.
  • Strong attention to detail and accuracy.
  • Good organizational skills and the ability to manage multiple open jobs.
  • Dependable, punctual, and able to work independently.
  • Reliable transportation to commute to work.
  • Ability to work on-site in an office environment.

Preferred Qualifications:

  • Previous experience in parts ordering, parts coordination, or a parts counter position.
  • Previous customer service experience.
  • Familiarity with reading equipment diagrams, schematics, or parts breakdowns.
  • Experience with QuickBooks, Microsoft Office/Microsoft 365, including Excel and Outlook, or similar business software.
  • Experience with generating estimates, reviewing pricing, or processing orders.

Education: No formal education requirements.

Training

On-the-job training will be provided. Candidates do not need previous experience with our specific equipment or software, provided they have basic computer skills, attention to detail, and a willingness to learn.

Work Environment and Schedule

  • Full-time position, 40 hours per week.
  • In-person office position; remote work is not available.
  • Primarily computer-based work involving parts research, order processing, pricing, and communication.
  • Regular interaction with the warehouse and service team to coordinate parts for repairs.

Ideal Candidate

The ideal candidate is dependable, organized, and comfortable spending most of the workday working on a computer. They should be able to research information, compare equipment diagrams, enter orders accurately, and communicate professionally with customers and coworkers.

Someone with experience in parts ordering, a parts counter, or customer service may be a great fit. However, we are willing to train the right person who has a strong work ethic, good attention to detail, and a willingness to learn.
