JOB TITLE: RECEPTIONIST/SECRETARY
GENERAL STATEMENT OF JOB
Handles incoming calls to the Central Office and meets and assists members of the general public visiting the Central Office in a prompt and courteous manner. Performs general office duties and data management in support of the administrative staff. Works under limited supervision.
SPECIFIC DUTIES AND RESPONSIBILITIES
ESSENTIAL JOB FUNCTIONS
Takes and directs telephone calls; records messages.
Greets students, parents, and visitors coming into the office and refers them to the appropriate office, personnel, or information source.
Alerts the school principal of any emergencies immediately.
Types, proofreads, and uses appropriate software to produce general correspondence, schedules, etc.
Receives incoming deliveries and routes to appropriate personnel.
Dispenses medicines and maintains appropriate related legal records.
Opens, sorts, and distributes incoming and courier mail and processes outgoing mail.
Calls students for counseling, conferences, discipline, dismissal, and messages.
Creates and maintains appropriate files.
Coordinates homework requests for sick students from parent to the teacher.
Assists in assessing attendance, early dismissal, and visitor log.
Handles maintenance needs for office machines.
Schedules activities and manages the master calendar for the school.
Assists in SIMS-related duties as needed.
Accounts for and distributes classroom materials.
Answers and responds to intercoms and radios.
ADDITIONAL JOB FUNCTIONS
This position involves access to confidential information, and employees are expected to maintain the strictest confidentiality regarding all matters pertaining to the school and students.
Carries out other duties as assigned by the principal.
Receives training and in-service pertinent to the job function.
Utilizes positive human relations skills with staff, students, and parents in fulfilling requests for assistance.
Performs special projects.
Suggests procedures for improved office efficiency.
MINIMUM EDUCATION, TRAINING AND EXPERIENCE
Graduation from high school with preference given to an associate's degree in secretarial science or office management. Experience with computer operation, bookkeeping, or previous office experience is preferred.
MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS
Physical Requirements: Must be physically able to sit, stand, walk, and drive a car. Must be able to lift mail and boxes up to 10 lbs. Must be able to sit at a computer for extended periods of time.
Interpersonal Communication: Requires the ability to speak to people to convey or exchange information. Includes giving instructions, assignments or directions to parents, students, and staff.
Language Ability: Requires the ability to read and complete simple forms. Requires the ability to prepare time sheets using prescribed format.
Reasoning Ability: Requires the ability to apply common sense understanding to carry out instructions furnished in written, oral or diagrammatic form.
Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, to follow written and oral instructions. Must be able to communicate effectively and efficiently in standard English.
Numerical Aptitude: Requires the ability to utilize mathematical formulas; to add, subtract, multiply and divide.
Motor Coordination: Requires the ability to coordinate the eyes and hands to use a keyboard.
Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under moderate levels of stress.
Physical Communication: Requires the ability to talk, see, and hear. Must be able to communicate via telephone.
KNOWLEDGE, SKILLS AND ABILITIES
General knowledge of the standard procedures for running a busy office.
Knowledge of the use of standard office equipment such as copiers, calculators, etc.
General knowledge of word processing and familiarity with appropriate software.
Ability to demonstrate proper telephone etiquette.
Ability to establish and maintain effective working relationships with staff, students, parents, and volunteers.
Ability to maintain confidentiality.
Ability to exercise independent judgment and initiative in completing work assignments.
Ability to communicate effectively orally and in writing.
Ability to reason, make judgments, and maintain effective working relationships with others in exercising discretion and action in the performance of assigned work.
Ability to attend to details necessary to complete forms properly.
Working knowledge and ability to use correct grammar, spelling, and punctuation.
Knowledge of business letter writing and memos.
