Office Administrator Job Description
Office Administrator Duties:
- Financial and fiduciary management
- Assist Board Treasurer as needed.
- Correspondence and database
- Handle correspondence, as requested
- Copy and distribute reports, especially prior to Board meetings
- Produce reports as needed by the Board and Pastor
- Assist with making sure deadlines are met
- Update and distribute Board Packet information for new ECM Board Members
- Maintain paper and electronic filing systems and regularly backup electronic files
- Organize, update, and maintain ECM Google Drive records
- Maintain student and donor database records
- Schedule and manage appointments and meetings using Scheduling Software approved by the Pastor
- Maintain office supplies including ordering
- Answer the office phone and organizational emails, including ECM building space rental inquiries
- Personnel
- Attend weekly meetings with ECM staff
- Attend a weekly meeting with Campus Pastor
- Publicity and promotions as assigned by the interns and Pastor
- Develop and distribute newsletters on a regular schedule
- Develop and distribute other promotional materials, as needed
- Assist with marketing the ECM building space for use according to our policy and procedures
- Make sure to coordinate with Board on building use and needs
- Stay up to date on Marketing and Web Presence
- Coordinate/Manage Web Presence (including Social Media) as assigned by the interns
- Enhance communication with students and others through Facebook, Twitter, Instagram, etc.
- Monitor and regularly update information on ECM social media and the website
- ECM Center
- Be the staff member to assist with student needs in the ECM Center
- Maintain ECM cleanliness and organization per Campus Pastor’s standards
- Maintain the refreshment area, printers, and WiFi access
- Take the trash and recycling out, if intern does not or is not present
*Other duties, as assigned by Chair of the Board and Pastor.
Proficiency in Microsoft Word, Outlook, Excel, QuickBooks, Social Media (TikTok, Facebook, Instagram, etc.), Google Calendar (Google Scheduling Software), or willingness to learn, is required. The successful candidate will be a self-starter with a gift for hospitality and able to work effectively in an office setting.
The Administrative Assistant is hired by the ECM Board of Directors, and supervised by the ECM Campus Pastor, who reports to the ECM Board of Directors. There will be weekly staff meetings, plus reviews every three months the first year, and every year thereafter.
Compensation
$20/hour for 35 hours per week.
