Intake Specialist — Brooklyn, NY (Full-time, On-site)
We administer pooled income trusts for New York Medicaid recipients — helping seniors and individuals with disabilities who exceed Medicaid's income limit stay covered by directing their surplus income into a professionally managed trust that pays their bills. We're known for fast, personal, white-glove service, and we're growing.
We're hiring an Intake Specialist to own the new-client experience from first call to active trust account. You'll guide clients and their families through enrollment and keep our referral partners updated every step of the way.
What you'll do
- Be the first point of contact for new referrals — explain how the trust works and walk clients through enrollment with warmth and patience
- Prepare and review enrollment paperwork (trust agreements, disability, HIPAA, income, and bank documents) for accuracy and completeness
- Coordinate signatures, doctor-completed forms, and bank verification to get accounts opened and funded
- File completed packets with the county or the client's managed-care plan, and track each case to approval
- Keep referral partners informed on their clients' progress — this is a top priority
- Supervise and train intake staff; monitor workflow, turnaround times, and quality
- Spot bottlenecks and improve the intake process as we scale
What we're looking for
- Prior experience in Medicaid, pooled trusts, home care, or healthcare/benefits administration — strongly preferred
- A supervisory or team-lead background, or readiness to step into one
- Exceptional people skills — patient, clear, and reassuring with elderly clients and their families
- Highly organized and detail-oriented; comfortable juggling many cases at once
- Tech-comfortable: case software, spreadsheets, e-documents, and email
- High school diploma required; associate's or bachelor's a plus
