What we are looking for
A highly motivated individual who provides outstanding customer service and supports the Facilities & Safety Manager in ensuring that all company buildings and their services are fully operational and meet the requirements of customers, vendors, service providers, and team members.
Duties and Responsibilities:
- Coordinate and document relationships with third-party contractors and service providers, including those for electrical systems, plumbing, HVAC, and grounds keeping.
- Assist administratively in keeping track of contracts with service providers (e.g. waste disposal, pest control, etc.) and ensure terms, performance, and deadlines are met.
- Participate in fostering a safety-conscious culture among team members by distributing safety materials, sending out reminders, and encouraging participation in safety programs and initiatives.
- Regularly conduct safety inspections to ensure all facilities comply with local, state, and federal regulations (e.g. OSHA, Fire Safety/Ordinances) and document findings to work with the manager to address any issues.
- Support the process of following up on safety incidents/accidents or near misses and help to investigate the root cause to implement, if needed, corrective action.
- Support the management and implementation of safety training programs, safety policies, safety meetings, and periodic safety inspections.
- Collaborate in supervising building security across all facilities.
- Help manage administratively insurance claims related to facilities.
- Help update and maintain emergency procedures (e.g. fire evacuation, severe weather protocols, facility emergencies after hours) for each facility.
- Maintain updated records in Microsoft Office of preventive maintenance, safety audits, and servicing requirements on all facility equipment such as fire extinguishers, alarms, exit signs, backup generators, and other emergency-related equipment to ensure all areas are up to standard.
- Assist with planning and coordinating repairs, installations, refurbishments, and intra-office moves.
- Assist with maintaining documentation and administrative duties related to company reports, safety metrics, and future facilities projects.
- Ensure all common areas, such as break rooms, restrooms, parking lots, etc., are clean, well-maintained, and properly functioning and stocked with necessary cleaning products, lighting bulbs, and/or any other essential items.
- Act as a point of contact between facilities’ needs, safety team participants, and management to help ensure smooth communication and constant collaboration.
- Help monitor the condition of key assets (e.g. refrigerators, freezers, coolers, shelving units, etc.) and ensure they are regularly maintained or replaced as necessary.
- Support the development and implementation of facility management programs, including employee trainings (e.g. fire drills, proper lifting techniques, best use of personal protective equipment (PPE)).
- Keep track of maintenance supplies, tools, and safety equipment to ensure all necessary items are available and in good condition.
- Help inspect building structures and identify areas needing repair or renovation.
- May be required to perform other duties as assigned.
Qualifications:
- High School diploma or GED required.
- Minimum of 1-3 years of experience in facilities management or building servicing in a retail or warehouse environment.
- Bilingual (English/Spanish) required.
- Proficient in Microsoft Office applications.
- Certifications in safety (e.g. OSHA 10-Hour or 30-Hour General Industry Certification) or in facilities management (e.g. Certified Facilities Manager) are a plus but not required.
- Familiarity with OSHA standards, fire safety regulations, and general health and safety practices is beneficial.
- Basic knowledge of warehouse operations, building services, materials handling equipment and general maintenance practices are a plus.
- Excellent communication and interpersonal skills, with the ability to collaborate across departments.
- Problem-solving aptitude, flexibility and a willingness to respond to emergencies off hours if needed
- Knowledge of safety standards and best practices in facility is a plus.
- Experience with budget tracking and management is preferred.
- Organized, structured and accustomed to multi -tasking.
