Overview
The Retail Operations Coordinator is responsible for supporting the day-to-day operational execution of Eclipse Sample Sale events across our flagship locations, pop-ups, and live commerce initiatives.
This role acts as the primary coordination point between Brand Partners, Retail Teams, Logistics, and internal departments to ensure every event is properly prepared, stocked, priced, staffed, and ready to execute successfully.
The Retail Operations Coordinator oversees inventory movement, event setup preparation, POS configuration, pricing implementation, signage creation, operational reporting, staffing coordination, and communication between departments. They play a critical role in keeping the business organized and ensuring store teams have everything they need to operate efficiently.

Key Responsibilities
Retail & Event Operations
- Own the end-to-end operational execution of all retail activations, from planning and logistics through launch, daily operations, and closeout, ensuring seamless execution across all locations.
- Serve as the primary operational liaison for both store teams and brand partners, coordinating event timelines, delivery schedules, inventory movement, operational communications, and ongoing support throughout each activation.
- Manage operational calendars, project trackers, and key milestones, ensuring deadlines are met and all stakeholders remain aligned.
- Coordinate inventory intake, transfers, storage, fulfillment, and outbound shipments while managing relationships with freight and transportation partners.
- Ensure stores are fully equipped for success by coordinating fixtures, supplies, signage, equipment, documentation, staffing resources, and all other operational requirements.
- Prepare weekly operational kickoffs and supporting materials, including pricing menus, signage, and execution guides, while maintaining consistent operational standards across all locations.
- Monitor event readiness and store performance, proactively troubleshooting operational challenges, gathering feedback from the sales floor, and communicating insights, risks, and opportunities to leadership.
- Oversee labor budgets and staffing plans, providing ongoing recommendations and adjustments to optimize execution, efficiency, and profitability.
- Continuously identify and implement process improvements that enhance organization, scalability, and operational excellence across the business.
Inventory Management
- Maintain inventory files, assortment documentation, and product records for all activations.
- Ensure all product, inventory, and pricing information is accurately reflected across company systems.
- Monitor inventory levels and sell-through throughout events, communicating replenishment opportunities and inventory needs.
Reporting & Analytics
- Prepare and distribute various reports on operational event performance.
- Maintain sales, inventory, labor, and operational reporting trackers.
- Analyze event performance, operations, and profitability to identify opportunities for optimization and provide recommendations to leadership.
Pop-Ups & Special Projects
- Support operational planning and execution for national pop-up activations.
- Coordinate travel arrangements, staffing schedules, and operational logistics for pop-up events.
- Support the Pop-Up Manager with daily staffing needs and tasks.
- Assist with pop-up location research and operational assessments.
- Support the growth of Eclipse's livestream and e-commerce channels through operational coordination and execution.
- Drive special projects focused on business growth, operational efficiency, and strategic initiatives.
Qualifications
- 2–4 years of experience in retail operations, logistics, inventory management, events, administrative support, or a related field.
- Experience working in a retail, warehouse, events, or fast-paced operational environment preferred.
- Proficiency in Google Workspace, Microsoft Office, and Shopify or other POS systems.
- Experience with Instawork or other temporary staffing platforms is a plus.
