Job Scope: The Community Outreach & Events Coordinator supports Ecker Center’s visibility, engagement, and impact by coordinating community outreach efforts, supporting key organizational events, and strengthening relationships with partners and stakeholders. This role blends strategic coordination with hands-on community engagement, supporting annual fundraising and awareness events, pop-up outreach opportunities, and internal staff engagement initiatives. Working closely with the Marketing & Development team, help ensure events and outreach activities are well-organized, well-promoted, and aligned with Ecker’s mission, brand, and messaging.
Primary Responsibilities
- Cultivates and maintains relationships with community partners to expand referral pathways and strengthen community presence.
- Coordinates and participates in outreach events, networking activities, and community engagement opportunities.
- Maintains an organization-wide outreach and events calendar, coordinating staffing, logistics, and materials.
- Support key annual initiatives, averaging approximately one major event per quarter, including fundraising, awareness, and client engagement events, with support for the annual fundraising gala each November.
- Assists with internal staff engagement events and organizational initiatives.
- Prepares outreach materials and event kits and collaborates with the Marketing team to track inventory and coordinate reorders.
- Collaborates with the Marketing team to promote events through social media, email, Ecker-Connect, and other channels.
- Captures photos and videos at outreach and community events (or coordinates with staff) and uploads assets to the shared media library.
- Recruit and schedule staff participants and external volunteers for outreach and community event participation.
- Records outreach interactions, contacts, and outcomes in the CRM and assists with reporting and performance tracking.
- Researches outreach trends, peer strategies, and community initiatives to support continuous improvement.
- Maintains a strong working knowledge of Ecker Center programs and services to ensure accurate and audience-appropriate messaging.
- Performs additional duties as needed to support evolving departmental and organizational needs.
Performance Requirements
- Effectively coordinates outreach and event logistics to ensure smooth, well-organized execution.
- Builds positive relationships with community partners, staff, and volunteers.
- Accurately tracks outreach data, maintains records, and contributes to KPI reporting and evaluation.
- Supports event promotion and coverage in coordination with the Marketing & Communications Specialist.
- Demonstrates flexibility and adaptability in managing multiple events and shifting priorities.
- Communicates clearly and professionally with diverse audiences, including community members, partners, and staff.
- Uses Microsoft 365 tools, CRM systems, and digital platforms to support outreach coordination and reporting.
- Handles sensitive information responsibly and complies with the Illinois Confidentiality Act and organizational policies.
- Values diversity, respects differences, and adapts engagement approaches across cultural contexts.
Education and Experience
- Bachelor’s degree or equivalent experience in marketing, communications, public relations, or a related field preferred.
- Experience with community outreach, relationship-building, or field marketing.
- Experience in fundraising events planning required.
- Familiarity with CRM systems, donor or outreach databases, and event tracking tools preferred.
- Experience working in nonprofit, behavioral health, or human services settings strongly preferred.
- Familiarity with social media platforms and basic photo/video capture.
- Proficiency with Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint).
- Strong organizational skills, attention to detail, and ability to multitask in a dynamic environment.
- Valid driver’s license and reliable transportation required.
- Bilingual (English/Spanish) strongly preferred.
Schedule
- Monday – Friday, 9am – 5:30pm (40 hours a week).
- Occasional evening or weekend hours may be required to support community and organizational events, with flexible scheduling provided.
Hiring Salary
- $52,000.00 – $62,400.00. Depending on skills and qualifications.
