Job Summary
We are seeking a Staff Accountant to support daily financial operations and ensure the accuracy and integrity of our accounting records. This role is responsible for billing, reconciliation, financial reporting, and supporting leadership with data-driven insights. Ideal candidates will have accounting experience, preferably within the transportation or logistics industry, and the ability to work collaboratively across departments in a fast-paced environment.
Primary Responsibilities
Billing, AP, and AR
- Manage the full billing cycle, including daily Accounts Payable and Accounts Receivable processing.
- Coordinate with our factoring company to ensure accurate documentation and timely funding.
- Collaborate with Operations and Sales teams to ensure billing accuracy and compliance.
- Perform timely and accurate month-end closeout processes for the Income statement (P&L), ensuring all revenue, expenses, and adjustments are recorded properly.
- Enter and maintain financial data in the Transportation Management System (TMS) to ensure accurate financial reporting.
- Update and manage the balance sheet, including depreciation for vehicles, equipment, and technology assets.
- Update and maintain vehicle debt schedules, mileage tracking, and depreciation records to ensure accurate asset reporting.
- Reconcile bank accounts and support treasury functions, including maintaining banking relationships.
- Maintain and update the weekly cash flow model to support forecasting and liquidity management.
- Ensure accuracy and integrity of financial data through consistent internal controls and system verification.
- Work with the external accounting firm to compile and review quarterly financial information.
- Assist in preparing and filing year-end tax documents with the CPA.
- Generate accurate financial and operational reports using internal systems.
- Analyze financial statements, trends, and variances to support forecasting and budgeting.
- Develop custom reports and collaborate with the CEO and COO to support strategic decision-making.
- Bachelor’s degree in Accounting, Finance, or a related field required.
- Accounting experience preferred; transportation or logistics experience a plus.
- Strong understanding of GAAP and standard accounting practices.
- Proficiency with accounting or financial systems; TMS experience is beneficial.
- Advanced Excel skills, including data analysis and reporting.
- Excellent attention to detail, organization, and communication skills
- Working with factoring companies.
- Understanding of depreciation for fleet and technology assets.
- Experience creating custom reports for leadership.
- Familiarity with cash flow modeling or forecasting.
