Part-time Administrative Assistant

The ideal candidate for this part-time, salaried Administrative Assistant position is someone who is organized, detail-oriented, flexible, and warm; skilled in both technical tasks and interpersonal communication. This role averages 20–25 hours per week and requires accuracy, timeliness, and a welcoming presence as the first point of contact for the church. The Administrative Assistant works on-site Monday–Thursday from 9:00 am to 2:00 pm, with the salary also covering an additional hour (2:00–3:00 pm) as needed.
The general duties of the position are as follows:
- Represent the church with all for phone, email, and in-person inquiries with a friendly, prompt response while maintaining a welcoming office environment.
- Maintain church-wide calendar, including all events and activities at the church.
- Produce weekly worship materials, including bulletins, announcement slides, and worship/sermon slides using Microsoft Publisher, Canva, and PowerPoint, including funerals and special worship services.
- Create and maintain all digital communication digital communication, including the website, Facebook, YouTube, and weekly Constant Contact newsletter.
- Update and maintain the church database (Realm), including attendance, member information, and weekly reporting on VitalSigns.
- Complete daily and weekly administrative tasks such as checking and sorting the mail; ordering all office, cleaning, and kitchen supplies; sending out staff birthday cards; maintaining and ordering all supplies needed for printing, including scheduling routine maintenance of the office printer and folding machine; etc.
- Provide administrative support for church events, including monthly gatherings, special services, funerals, weddings, holiday services, and other ministry needs.
- Provide all proper documentation and filing for church business as required by the District and Conference, including documentation for Charge Conference and Year End Reporting (this position works closely with Church Council, Pastors, and the Bookkeeper to complete these).
- Assist Bookkeeper with HR / Admin tasks such as key assignments, new hire welcome packets, etc.
- Oversee and assign weekly tasks to the Office Assistant (3–5 hours/week) and submit the assistant’s timecard.
- Show flexibility in accomplishing other tasks assigned by the Pastor(s).
Organizational Relationship and Supervision
· The Administrative Assistant reports directly to the Senior Pastor.
· Works collaboratively with church staff, ministry leaders, and volunteers.
· Supervises the Office Assistant.
Qualifications/Requirements
· Demonstrated proficiency in administrative and office management tasks.
· Strong organizational, communication, and interpersonal skills.
· Ability to manage multiple responsibilities with accuracy and timeliness.
· Competence with computer software including Microsoft Office, Publisher, PowerPoint, Canva, and database systems (Realm preferred).
· High school diploma required; associate or bachelor’s degree preferred.
· Minimum two years of administrative or office management experience.
· Must pass a background check and drug screen prior to employment.
