What are the responsibilities and job description for the Business Office Receptionist position at Eaton RESA?
SUMMARY
Under the direct supervision of the Executive Director of Finance & Operations, and in accordance with established policies and procedures, the Business Office Receptionist will provide support for the District’s visitors and staff in the Packard Building.
The position will perform a variety of tasks to provide information and assistance to customers, staff and visitors of Eaton RESA. In addition, this position may provide clerical support to central office administrators and staff as needed.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Greets all customers/visitors in a courteous, efficient and professional manner, determines their needs, maintains visitor logs, checks appointments and directs individuals to the proper person, office, meeting, building and/or location.
- Answers multi-line phone system, forwards calls to appropriate person or department, takes and delivers messages or transfers calls to voice mail when appropriate staff are unavailable.
- Provides assistance and guidance to students, parents, local district, community members, agencies and district staff by evaluating the situation and determining the appropriate course of action, resource or referral needed.
- Maintains conference room schedules and displays a daily schedule of events for the Packard facility.
- Receives verbal and written requests for information. Determines pertinent sources for information for requestors.
- Responds to inquiries, complaints, and other communications requiring the explanation of procedures, policies, rules, state laws, etc., applicable to the circumstances.
- Receives, opens and distributes district mail daily to the appropriate department/location. Records incoming checks in the log book provided.
- Assists with filing, scanning, document imaging, faxing and copying as directed.
- Assists with Accounts payable and receivable for business services districts.
- Operates a variety of standard office equipment and machines, including calculators, copy machine, multi-line phone system and computers.
- Serve as back up for other Business and Central Office functions as needed.
- Performs other duties as assigned.

QUALIFICATIONS
CERTIFICATES, LICENSES, REGISTRATIONS (If Applicable):

EDUCATION, TRAINING & EXPERIENCE:
Required
- Possession of a high school diploma.
- One (1) year or more experience with receptionist, switchboard, clerical support, or related
experience.
Desired
- Possession of an Associate’s degree in business, accounting, or related field.
- One (1) year or more experience in a public school setting.
KNOWLEDGE, SKILLS & ABILITIES
- Knowledge of public school operations and programs.
- Knowledge of general office practices, filing & general record keeping, basic mathematics, and
correct English usage & grammar.
- Skill in creation and compilation of various documents, written communications, and reports.
- Skill in selecting and compiling data for correspondence and reports, including comparing data
from a variety of sources for accuracy, completeness, grammar and format.
- Skill in handling situations and interactions with others in a tactful, confidential, and respectful
manner.
- Ability to take initiative, plan/organize/prioritize tasks and work independently when given a
variety of responsibilities, resources and tasks.
- Ability to maintain supplies and equipment for work area.
- Ability to evaluate information and situations to determine the appropriate course of action without
supervisor approval.
- Ability to accurately follow multi-step, oral and written directions.
- Ability to work independently and within teams to accomplish identified goals and strategies.
- Ability to build and maintain positive working relationships with constituent district staff, internal
department staff, vendors, and other stakeholders
