Position Overview
The Office Manager plays a central role in the daily operations of our manufacturing business. This individual will oversee purchase order processing, materials purchasing, shipping coordination and customer service, while serving as the communication bridge between the front office and the production floor. The ideal candidate is professional, personable, and passionate about problem solving in a hands-on manufacturing environment.
Key Responsibilities
Order & Customer Management
- Process incoming customer purchase orders accurately and efficiently.
- Communicate lead times, order status, and shipping updates to customers.
- Provide exceptional customer service through phone, email, and in-person interactions.
- Coordinate with the production floor to ensure order requirements, timelines, and special instructions are clearly communicated and met.
Purchasing & Inventory Coordination
- Issue purchase orders to suppliers and track material deliveries.
- Maintain accurate records of material inventory levels and reorder points.
- Work with vendors to resolve shortages, backorders, and delivery issues.
- Support the production team by ensuring materials and components are available as needed.
Shipping Coordination
- Coordinate daily outbound shipments with carriers and freight partners to ensure on-time delivery.
- Prepare and verify shipping documents, including bills of lading, packing lists, and carrier labels via Carrier websites or internal MRP.
- Communicate tracking information and delivery status updates to customers and internal teams.
- Work with the production and warehouse teams to schedule pickups and resolve any shipping delays or discrepancies.
Administrative & Operational Support
- Serve as the central point of communication between office, production, and management.
- Assist with scheduling, document management, and general administrative duties.
- Analyse and act on reports related to purchasing, inventory, and order fulfillment.
- Support implementation and daily use of MRP/ERP systems and QuickBooks.
Job Type: Full-time
Pay: $24.20 - $27.35 per hour
Expected hours: 40 per week
