Job Description
The Private Dining Associate acts as a link between the event sales and execution teams, ensuring both are fully aligned with event details and client expectations. This role reports to the Events Sales Manager and the General Manager of Restaurants. The Associate provides key support in the planning and execution of private events, catering, and banquets at an Eataly location. In collaboration with the Private Dining Manager, the Associate helps facilitate clear communication with guests, precise event planning, and smooth on-site coordination. Success in this role requires strong organizational skills, clear communication, and sharp attention to detail.
Client & Event Coordination
- Serve as the primary point of contact for private dining clients from initial inquiry through event execution, ensuring responsive communication and seamless coordination.
- Conduct site visits and walkthroughs for prospective and confirmed clients, addressing inquiries and providing expert guidance.
- Coordinate client requests, menu development, and event timelines, including headcount and special orders, to ensure expectations are met.
- Collaborate with the sales team and operations to manage mid-level events (up to 30 guests) and support larger events as needed.
Event Planning & Execution
- Prepare proposals, contracts, Banquet Event Orders (BEOs), and event materials such as floor plans, signage, and menus in alignment with client specifications.
- Liaise with FOH and BOH teams during event setup, service, and breakdown to ensure smooth execution and exceptional guest experiences.
- Monitor service flow and event timelines on the day of events, acting as a liaison between clients and internal teams to resolve issues promptly.
Administrative & Sales Support
- Support the Private Dining Sales Manager with administrative duties, client follow-ups, and event coordination.
- Handle inbound inquiries via phone and email and manage reactive sales for smaller events under supervision.
- Maintain accurate records in event platforms (e.g., Tripleseat, Reposite), including documentation, billing, payments, and guest feedback.
Post-Event & Reporting
- Assist in collecting and logging guest feedback to support quality improvements and trend tracking.
- Participate in post-event recaps and share insights with the Private Dining Manager and Corporate Coordinator for continuous improvement.
Qualifications
- 1–2 years of experience in private dining, catering, banqueting, events, hospitality, or a related guest-facing field
- Proven track record in event coordination, sales, or hospitality, with strong organizational and multitasking skills
- Excellent interpersonal and written communication abilities; comfortable building relationships with clients and internal teams
- Highly organized and detail-oriented, with a strong focus on both written work and physical presentation
- Proficient in Microsoft Office Suite and event planning platforms (Tripleseat, Reposite, SevenRooms a plus)
- Strong computer skills and a detail-driven approach to task management
- Able to work a flexible schedule, including evenings, weekends, and holidays as needed
- Passion for food, Italian culture, and creating exceptional guest experiences
- High school diploma or equivalent required
