Position Summary
The Maintenance Parts & Inventory Supervisor is responsible for leading the plant's maintenance inventory and material management processes to ensure maintenance teams have the right parts, at the right place, at the right time. This role owns the complete maintenance supply chain, including receiving, inventory control, material staging, interfacility logistics, internal and external repair tracking, and inventory optimization.
The supervisor is accountable for inventory accuracy, material availability, repair programs, and maintenance support KPIs while providing leadership and development to the Parts Coordinator. Working closely with Maintenance, Engineering, Receiving, Purchasing, Production, and Finance, this position drives equipment reliability, cost control, and continuous improvement through effective inventory management and data-driven decision making.
Key Responsibilities
- Manage the complete lifecycle of maintenance inventory from receiving through final disposition.
- Ensure accurate inventory transactions and master data within MaintainX, SAP, or equivalent CMMS/ERP systems.
- Oversee receiving, storage, organization, issuance, and staging of materials for preventive maintenance, planned work, shutdowns, and capital projects.
- Manage external repair (RMA) activities and internal refurbishment programs for repairable assets, including Pumps, fabricated components, and other recoverable equipment.
- Coordinate maintenance material transfers between company facilities.
- Monitor inventory levels and optimize stocking strategies to minimize stockouts, emergency purchases, and obsolete inventory.
- Develop, monitor, and report inventory and maintenance support KPIs.
- Lead continuous improvement initiatives utilizing Lean, 5S, and inventory best practices.
- Supervise, coach, and develop the Parts Coordinator while promoting safety, accountability, and operational excellence.
Systems & Technical Responsibilities
- Utilize MaintainX (or equivalent CMMS) to manage spare parts, inventory transactions, repair tracking, work order staging, and maintenance reporting.
- Utilize SAP (or equivalent ERP) to manage purchase orders, material receipts, inventory transfers, vendor coordination, and inventory reconciliation.
- Maintain accurate inventory master data while supporting forecasting, planning, and inventory optimization.
- Leverage Microsoft Excel, Power BI, and reporting tools to analyze performance, identify trends, and drive continuous improvement.

The Maintenance Parts & Inventory Supervisor is expected to analyze KPI trends, identify root causes, implement corrective actions, and provide routine performance reporting to the Maintenance & Engineering Manager. Success in this role is measured by improved inventory accuracy, reduced maintenance delays, optimized inventory investment, increased repairable asset recovery, and enhanced support of plant reliability.
Qualifications
Required
- Associate's degree or equivalent experience in Supply Chain, Industrial Maintenance, Engineering Technology, or a related field.
- Minimum of five (5) years of experience in MRO inventory, maintenance storeroom operations, or industrial supply chain management.
- Experience using CMMS and ERP systems such as MaintainX, SAP, or equivalent.
- Strong knowledge of industrial maintenance spare parts, repairable assets, and inventory control practices.
- Proficiency in Microsoft Excel and reporting tools.
- Demonstrated leadership, organizational, analytical, and communication skills.
Preferred
- Bachelor's degree in Supply Chain, Engineering, Business, or a related field.
- APICS/ASCM, Lean Six Sigma, TPM, or Reliability certification.
- Experience with Power BI or similar business intelligence software.
