Location:  Eastpointe Community Schools, Office of the Assistant Superintendent of Curriculum, State and Federal Programs and Special Education 

      

Position Description:  The Curriculum and Grants Specialist is a full-time position, which provides support services to the Assistant Superintendent in all areas of responsibility. 

 

Minimum Job Qualifications: 

  • Minimum of 4 years of experience as an Executive Assistant preferred.
  • High School graduate or equivalent, Associates Degree or Bachelor's degree preferred. 
  • Ability to perform administrative duties for executive management.
  • Advanced Microsoft Office skills, with an ability to become familiar with district-specific programs.
  • Ability to work well with all levels of management and staff, as well as outside clients and vendors.
  • Ability to deeply serve the customers of Eastpointe Community Schools- parents, students and staff. 
  • Proficiency in collaboration and ability to perform delegated tasks. 
  • Strong organizational, project management and problem-solving skills. 
  • Excellent clerical skills  
  • Proficiency in Microsoft Excel and Google suite (Docs, Sheets, Drive, etc)
  • Possess outstanding interpersonal and communication skills.

 

Essential Job Duties:

  • Customer service duties and maintain confidential information:  answer telephones, route calls, take messages, greet the public, schedule appointments, sort and distribute incoming mail, prepare outgoing mail, type, proofread and file. This position requires a knowledge of the district and an ability to celebrate the work of the organization while supporting families, students and staff. 

Grants Management & Compliance:

  • Support grant compliance and accountability processes, including maintaining required documentation (e.g., Title I compliance forms, payroll certifications, inventory control logs, and “Green Binders”).
  • Assist with the development, submission, and management of 31a, Title I, Title II, and Title IV consolidated applications in NexSys.
  • Monitor and maintain grant budgets across all buildings; ensure alignment with approved allocations.
  • Collaborate with the business office to maintain the district chart of accounts.
  • Assist in reviewing federal and other grant budgets to ensure compliance with legal and program requirements.
  • Develop, document, and communicate district procedures for grant management.
  • Process grant-related documents, including verifying submissions, aligning expenditures to budgets, and routing for approval.
  • Maintain organized records of POs, reimbursements, check requests, and additional hours tied to grant funding.
  • Process and track grant-funded invoices and subscriptions.
  • Manage semester time and effort sheets for Title funded staff (TC) 

Nonpublic Schools (PNP):

  • Coordinate participation of nonpublic schools in Title programs, including outreach
  • Send opt-in letters annually to all PNP in a 30 mile radius (TC)
  • School visitation for meaningful consultation 3-4 times per year.
  • Collect schedules for Title I staff, program evaluation, and other documentation as required by the grant. 
  • Serve as administrator for PNP grant budgets and expenditures, including POs, reimbursements, and additional hours.

Budgeting & Financial Processes:

  • Utilize AS400 to run reports, enter and track purchase orders (POs), and research accounts, checks, payments, and expenditures.
  • Meet with principals to develop and manage Title budgets w/Asst. Supt. 
  • Maintain accurate records of expenditures and ensure timely processing of financial documents.
  • Support budget development and tracking for summer school programming.

Curriculum & Instruction Support:

  • Assist with curriculum and media center ordering and inventory processes.
  • Support buildings with annual inventory and procurement of instructional materials.
  • Assist with logistics and set up for district professional development and meetings.

Professional Development & Compliance:

 

  • Provide and monitor sign in sheets, agendas, and assist set up for District Provided Professional Development
  • Monitor Title I and II funding for professional development.

 

  • Assist with registrations and booking for professional development as needed.  

Payroll & Program Support:

  • Manage payroll-related documentation, including certifications and logs for grant-funded programs (e.g., High Dosage Tutoring, extended day programs). 
  • Coordinate and track payments for curriculum and grant-related initiatives.

Additional Responsibilities:

  • Provide direct support to the curriculum director and assistant superintendent. 
  • Provide communication and support to school buildings as needed.
  • Perform additional duties as assigned.

 

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit and talk or hear and operate a computer. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds, such as reports. Specific vision abilities required by this job include close vision and depth perception.

Salary Data: $46,698- $53,000 based on experience, plus a full benefits district benefits plan including medical, dental, vision, life insurance and paid time off.   See Benefit Guide.
