GENERAL DESCRIPTION
The Substitute Secretary provides administrative and clerical support across various schools and departments within the district on an as-needed basis. This position serves as the first point of contact for students, staff, parents, and community members, ensuring efficient office operations and excellent customer service. Responsibilities and assignments may vary depending on the site and department.
RESPONSIBILITIES
General Office Support
- Serve as receptionist by greeting visitors, answering multi-line phones, and directing inquiries appropriately
- Provide accurate information to staff, students, parents, and community members
- Perform general clerical duties including filing, copying, data entry, and correspondence
- Support student registration and records processes as assigned (e.g., enrollment documents, transfers, immunizations)
- Maintain confidentiality of student, staff, and district information at all times
- Utilize district systems including student information systems, word processing, spreadsheets, email, and other office software
- Assist with mail distribution, supply inventory, and basic bookkeeping or cash handling as assigned
- Provide translation support for Spanish-speaking families, when applicable
- Adapt quickly to different office environments, procedures, and expectations
- Perform other duties as assigned to support building or department operations
KNOWLEDGE, SKILLS, AND ABILITIES
- Bilingual (Spanish/English) preferred; may be required for specific assignments
- Strong written and verbal communication skills
- Proficient in Microsoft Office, Google Workspace, and general office technology
- Experience with multi-line phone systems and office equipment
- Ability to work independently and follow oral and written directions
- Strong organizational skills with attention to detail and accuracy
- Ability to manage multiple tasks and frequent interruptions in a fast-paced environment
