POSITION SUMMARY/PURPOSE
Under the supervision of the Site Manager of Medical Rehabilitation Services, the Front Office Administrative Assistant is responsible for serving as the initial point of contact for all patients, vendors and visitors for the Medical Rehab and Driver Assessment Program departments. This position is responsible for answering phones in a pleasant clear voice, greeting patients and visitors in a professional manner, patient intake, patient file preparation, and translation. Additionally, the Front Office Administrative Assistant will complete accurate data entry, mailings, faxes and communication with referral sources.
ESSENTIAL FUNCTIONS
Participates in daily office operations and completes assigned delegated tasks.
Responsible completing and maintaining clerical/office activities including: scheduling of patient visits, verifying insurance eligibility for Medicare/Medicaid, obtaining insurance authorization, and answering multi-line telephone system.
Manages Medical Rehab and Driver Assessment schedule to allow for maximum efficiency and ensures all necessary information and paperwork is gathered from patients prior to appointment.
Accurately enter/create patient chart and case into computer prior to appointment for Medical Rehabilitation and create client chart for Driver assessment.
Maintain patient schedule, contact new patients immediately upon missed evaluation, provides confirmation phone calls to scheduled Rehab patients/Mobility clients and inputs accurate information into Insight.
Contact referral sources via phone/fax/email to request patient information as needed.
Check in patients, explain and complete new patient paperwork for initial evaluation.
Provide secretarial support for Audiology dept when servicing our location
Provide patient translation services for therapists and outside vendors as needed,
Answers calls, voicemails and emails in a professional manner.
Interacts with vendors, member agencies, physicians, patients/clients and public to answer questions regarding Medical Rehabilitation and Driver Assessment program.
Mails letters to physicians and patients/clients when they are unable to be reached by phone to notify the physician that the patient/client has declined services.
Maintains necessary files for the organization and National Easterseals such as data collection, phone log, ineligible log and demographic statistics.

Performs other duties as assigned by the Site Manager or Vice President.
JOB KNOWLEDGE, SKILL REQUIREMENTS, AND DESIRED ATTRIBUTES
Ability to communicate well with staff, patients and visitors.
Maturity of judgement, even temperament, good communication skills
Must have proficient computer skills, ability to use fax machine, copy machine, basic Microsoft Word and Microsoft Excel skills.
Good organizational skills with ability to set priorities and meet deadlines
This position may be authorized to have access to protected Health Information (PHI) to perform specific job duties.
EDUCATION
High School diploma or equivalent required.
EXPERIENCE
Experience in a healthcare facility preferred.
Medicaid, Medicare, and 3rd party insurance billing experience preferred.
Experience with Microsoft suite programs.
Bi-lingual in Spanish required.
