General Description:
Provide comprehensive telephone coverage for client/participant intake, scheduling of appointments for appropriate staff and data entry.Interact with community agencies to provide appropriate services for those seeking help and ensure HIPAA privacy rules are always followed.
Job Duties and Responsibilities:
- Open and close the office according to schedule, straightening lobby, locking/unlocking all doors, turning on/off air purifiers and radio.
- Greet and manage clients/guests in a courteous, professional and confidential manner.
- Provide comprehensive telephone coverage for information, client/participant intake, scheduling of appointments and classes for ETCADA clients/participants, and routing of calls.
- Respond to routine inquiries regarding programs and services.
- Record appropriate data on service tracking database according to P&P and/or participant database. Update and maintain records, files, and databases.
- Perform data entry focusing on speed and accuracy.
- Issue receipts to participants paying for classes and be responsible for monies going to the Executive Director, Director of Operations, and Accounting Assistant
- Check email/fax/phone for messages, routing as necessary.
· Ensure HIPAA privacy and 42 CFR rules are always followed.
- Provide weekly projected schedule to the designated Supervisor for approval.
- Compile employees’ weekly projected schedules and email to leadership.
- Perform other duties as assigned by supervisor
- Abide by all P&P of ETCADA
- Have an understanding of confidentiality, trauma informed care and client rights.
Knowledge, Skills and Abilities Preferred:
· Must have a High School Diploma or equivalent.
· Proficient knowledge and computer skills in programs such as Word, Outlook, Access, focusing on Excel. Prefer a higher level of expertise or a willingness to learn and master the skills necessary.
· Excellent oral and written communication skills
· Ability to work as a member of a team and with other community professionals
· Knowledge of professional standards and performs in a manner consistent with the ethics identified therein
· CPR certified or within 60 days of hire
