Summary


East Side House Settlement (ESH) is a community resource in the South Bronx that cares for the individuals, families, and 
communities we serve by expanding opportunities to live more fulfilling lives through education, career, and supportive 
services. ESH’s Post-Secondary Pathways (PSP) program aligns with our mission by providing high quality young adult 
career development services on-site at partner schools and local community centers. 


The Program Assistant will provide administrative and clerical support to the Education Department at Post-Secondary 
Pathways Programs, under the supervision of the Education Manager, PSP and Director of PSP. The Program Assistant is 
responsible for managing and entering program data and outcomes into funder databases, supply procurement, and 
logistics for GED testing for the education department. This role involves working closely with leadership to track 
progress, problem solve issues, and develop systems to strengthen program performance. The Program Assistant is a key 
position in ensuring productivity and performance.

Primary Functions
Duties and Responsibilities include, but are not limited to, the following:
• Assist participants with the completion of membership and enrollment applications and making necessary 
referrals to relevant service areas for additional support/assistance
• Provide administrative support to Education Manager, Instructors and Director.
• Prepare classroom materials and activities corresponding with students’ needs, abilities, and interests; assists 
Instructors in setting up/maintaining the classroom environment for GED, ESOL and education-related workshop 
participants
• Manage participant outreach and engagement activities using a prioritized list of potential and current students
• Serve as the Data Manager for the participant database and/or tracking spreadsheets and assure that all pertinent 
data relating to student services is accurately and timely reported.
• Ensure all participant files (physical and electronic) are up to date and in accordance with organizational and 
funding source requirements.
• Participate in Program Improvement Team (PIT) that will meet regularly to assess and review program data and 
recommend changes.
• Maintain department efficiency by planning and implementing office systems, layout and equipment 
procurement, maintain and replenish inventory, checking stock to determine inventory levels, and anticipate 
needed supplies. 
• Work with program staff to place purchase orders for supplies, equipment, and food.
• Provide guidance to students in establishing and pursing educational goals, review and document progress on a 
regular basis.
• Prepare and submit weekly, monthly, and quarterly reports to appropriate staff
• Assist in the pre- and post-testing of students as well as administer unit tests and quizzes to ensure learning.
• Develop and maintain productive relationship with relevant funder counterpart, attend trainings as assigned. 
• Answer telephone, route calls, and take messages; Provide excellent customer service and client assistance.
• Table at partner events; do outreach in informal gathering places within NYCHA housing developments, such as 
sitting areas and playgrounds 
• Participate in relevant departmental meetings, trainings, case conferences, workshops and events; Coordinate or 
assist in planning for events such as community meetings, block parties, health fairs and local business fairs

Qualifications:

Required Skills/Experience
• High school diploma or GED, AA degree in human service-related field a plus.
• Bilingual Spanish preferred
• Excellent verbal and written communication skills
• Ability to work with a culturally diverse population, Experience with grassroots information dissemination 
strategies. Previous outreach experience in urban communities helpful. 
• Knowledge of, and familiarity with, institutions and people from the overall Mott Haven section of the Bronx
highly preferred.
• Must be self-directed and organized.
• Basic computer skills necessary.
• Strong computer skills and technological experience including Microsoft Office (Word, Teams, etc.) Google Suite 
(Google Classroom, Docs, and Sheets) and similar programs

Expected Work Schedule 
This role is a Full time position expected to generally work Monday through Friday, 9 a.m. to 5 p.m. Hours subject to 
change based on ESH's needs.

 

Required Clearances
COVID Vaccine – As a recipient of Federal, State, and local funds, all staff are expected to be fully vaccinated or able to 
obtain vaccination before their start date

 

Supervisory Responsibility 
None. 

 

Work Environment
Business casual. This job operates in an office environment. This role routinely uses standard office equipment such as 
computers, phones, photocopiers, filing cabinets and fax machines.

 

Travel
Minimal expected for this position.

 

Physical Demands
The physical demands described here represent those that an employee must meet to successfully perform this job's 
essential functions. While performing the duties of this job, the employee is regularly required to talk or hear. This role is 
generally a sedentary role; however, some sorting/filing is required. Requirements include the ability to lift files, open 
filing cabinets and bend or stand on a stool as necessary. Reasonable accommodations that allow a candidate to meet the
