Summary:
The Secretary to Assistant Principal(s) provides secretarial support to ensure the smooth and efficient operations required of the school office.
Essential Duties and Responsibilities:

- Communication
- Answers phones and emails in a timely and professional manner
- Composes written and verbal correspondence
- Maintains a customer service focus and welcoming demeanor
- Disseminates essential information to appropriate staff members
- Communicates with designated personnel regarding messages, emergencies, and time-sensitive matters
- Establishes, monitors, and maintains confidential files, records, and conversations
- Visitors
- Controls access to the building, screens visitors, and directs guests to appropriate locations
- Substitute Management
- Oversees daily substitute management through the AESOP system, including generating required reports
- Maintains teacher emergency plans and substitute files
- Coordinates daily staff coverage needs, including 504 meetings, IEP meetings, parent conferences, traveling staff, athletics, and other absences
- Transportation
- Serves as liaison for transportation matters, including parent concerns, alternate bus stop requests, and creation of new bus stops throughout the year
- Discipline
- Maintains discipline records in PowerSchool
- Prepares discipline referrals and supporting documentation for parent notification
- Maintains organized and confidential systems for discipline records storage
- Teacher Evaluation
- Monitors, tracks, schedules, and organizes teacher observations
- Sends required correspondence and documentation to Human Resources and/or designated administrators
- Assessment & Scheduling
- Assists designated administrators with coordinating building assessments
- Assists designated administrators with course scheduling tasks
- Technology & Office Support
- Demonstrates proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and related systems
- Performs other duties as assigned by administration
Minimum Qualifications:
To successfully perform this position, a person must be able to perform each essential duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skill and/or ability necessary.
- High school diploma or equivalent necessary
- Proficiency in the use of technology for individual communication and research
- Possess effective interpersonal skills with the ability to interface diplomatically with other teachers, administrators, parents, students, support staff and outside professional contacts
Qualified candidate will be required to:
- Use hands to finger, handle or feel objects, tools or controls, and to talk and hear
- Sit and occasionally be required to stand, walk, stoop, kneel and crouch
- Have specific vision abilities to include close vision, color vision, and the ability to adjust focus
- Have the ability to lift and/or move up to 25 pounds
- Possess effective communication, judgmental, planning and human relations skills
- Be required to work under periods of stress due to the level of the position responsibility
Reporting Relationships:
- Reports directly to the designated administrator
- Works cooperatively with other administrators, supervisors, staff, parents and others to perform job responsibilities as outlined
Terms of Employment:
- This position is a 12 month position.
- Salary (step/level placement) & Benefits are as described in the current Collective Bargaining Agreement.
- Group 2: starting at $21.80 per hour.
