Founded in 2015, East Fork maintains a resolute commitment to environmental responsibility, science-based education, and social justice. East Fork is seeking a talented, passionate and self-directed Customer Service & Administrative Coordinator to join our team.

This position is an in-person role located in Portland.

POSITION SUMMARY
The Customer Service & Administrative Coordinator provides day-to-day support across East Fork’s customer service, account management, administrative, finance, and other general business operations.

This is a broad support role that will touch many areas of the organization. Responsibilities include responding to customer inquiries, money handling and preparing bank deposits, interacting with vendors and clients, assisting with administrative and financial tasks, coordinating office needs, and supporting internal projects and team members.

A successful candidate will be someone who takes initiative, follows through on responsibilities, communicates clearly, and is willing to pitch in wherever needed. They should also consistently demonstrate professionalism in all interactions, serving as a positive and respectful representative of the company. For this position, we value reliability, organization, curiosity, and a willingness to learn over extensive prior experience.

OUTCOMES: (In order of priority)

  • Provide excellent customer service and serve as a friendly, responsive point of contact for customers and business partners.
  • Support East Fork’s general business operations through reliable and organized administrative assistance.
  • Respond to inbound customer inquiries via phone and email, providing product information, addressing questions and concerns, and assisting with orders and account needs.
  • Maintain accurate records, files, forms, and other administrative documentation.
  • Support accounts receivable and payable, including administrative follow-up and preparation of cash and check deposits.
  • Provide administrative support to finance functions, including data entry, document preparation, record keeping, and other routine tasks.
  • Assist with office organization, supplies, cleanliness, and day-to-day facility needs at the Portland office.
  • Help coordinate internal projects, schedules, communications, and other administrative workflows.
  • Identify opportunities to improve administrative processes, workflows, and systems.
  • Support other team members and organizational needs as appropriate.

MINIMUM QUALIFICATIONS AND SKILLS:

  • Previous customer service, administrative, clerical, or related experience preferred.
  • Proficiency in Google Workspace, Slack, and Trello or similar software platforms.
  • Ability to perform occasional physical tasks associated with general office operations.
  • Comfortable working in a small, close-knit office environment and collaborating closely with coworkers throughout the day.
  • Current driver’s license and OLCC handler’s permit (or ability to obtain both), and access to a laptop for work.

COMPENSATION AND BENEFITS

  • Starting wage: $22.50/hour
  • Paid vacation: 0.04 hours accrued per hour worked, up to 80 hours per year
  • Paid sick time: 40 hours per year
  • Paid holidays: New Year’s Day, Memorial Day, 4th of July, Labor Day, Thanksgiving, Christmas Day
  • Health insurance: Partially subsidized plan

WORK SCHEDULE, RELATIONSHIPS AND CULTURE

  • Schedule: The Customer Service & Administrative Coordinator should average close to 40 hours per week. This role is in person at our Portland office and expected to be present and generally available from 9 a.m. to 5 p.m. M-F.
  • Relationships: The Customer Service & Administrative Coordinator will report to the Finance Director and will support other teams as needed (Growth and Operations).
  • Travel: This position requires a limited amount of travel. Use of a company vehicle is available for errands and deliveries. Trips to the East Fork farm in Southern Oregon may be required occasionally.
  • Culture: All team members are expected to participate in East Fork’s culture of continual improvement and to be flexible to the constant changes of a dynamic business and industry.
