Job Assignment
The Staffing Coordinator plays an integral role in the success of our team, our community, and creating a place our residents receive care. The Staffing Coordinator is responsible ensuring the nursing facility is adequately staffed for each work shift in order to comply with state and federal regulations. The Staffing Coordinator is directly responsible to the Administrator.
Duties and Responsibilities
Recruitment/Hiring
- Post open NA class, Caregiver, med tech positions
- Screen and coordinate interviews with candidates
- Facilitate new employee onboarding and employee file setup
- Coordinate employee orientation for all new employees
Scheduling
- Organize and prepare schedules based on availability, census, time off requests, and vacancies
- Utilize recruitment strategies and creative staffing to reduce dependence on staffing pool usage
- Keep attendance records
Will have on-call responsibilities during the week for call-offs
- Respond to employee calls regarding scheduling issues, prepare written correspondence as necessary
- Monitor timekeeping system, working to correct missed punches, follow-up on tardies, missed lunch, etc.
- Ensure daily staff posting is maintained and accurate. Complete staffing report monthly and submit to the administrator with explanations of any shifts that did not meet the required staffing ratios
- Attend required staff and departmental meetings and trainings
Compliance
The Scheduler is responsible for assuring that all functions of the payroll department are accomplished according to facility policy, State and Federal requirements and BOLI standards. This includes the following:
- Work with the payroll accountant to track and communicate employee status and changes
- Assure that each employee’s personnel records are complete and updated regularly
- Notify Department Head team of upcoming employee reviews
- Monitor and review Caregiver, Med Tech, and employee trainings.
- Additional assignments as determined by the Administrator and Wellness Nurse
- The Staffing Coordinator will attain and maintain a working knowledge of pertinent State and Federal regulations for staffing Oregon long-term care facilities.
- The Staffing Coordinator shall have knowledge of facility policies and procedures and represent these guidelines to others at all times.
- Dress Code: Appropriate office attire that reflects a professional image.

Requirements:
Education: High school diploma (or equivalent).
Experience: One year in long-term care required. Office experience
and familiarity with computers.
Skills Required: Must have the ability to read, write and understand English.
Highly motivated toward providing excellence in care to seniors. Belief in a positive, active and professional attitude
with staff members. Team oriented. Must be in good health
and able to carry out all necessary functions of the position.
Job Type: Full-time
Pay: $23.00 - $30.00 per hour
