A Construction Office Manager serves as the central administrative hub connecting field teams, project managers, clients, vendors, and internal departments. They manage documentation, financial processing, compliance, scheduling, and office operations to support project efficiency and budget adherence
Core Duties & Responsibilities
Manage project documentation — contracts, permits, blueprints, drawing iterations, and all project‑related paperwork; ensure all stakeholders have current information
Process financial documents — client billings, subcontractor invoices, purchase orders, payroll support, and budget tracking.
Act as administrative liaison — facilitate communication between field teams, PMs, superintendents, clients, CFO, estimating, contracts, and safety departments.
Support HR functions — onboarding, maintaining personnel records, recruiting and training administrative staff.
Maintain office operations — policies, procedures, compliance with building codes, safety regulations, inventory management.
Schedule and organize meetings — prepare agendas, minutes, coordinate logistics for project planning and stakeholder updates.
Develop and oversee document management systems — storage, retrieval, and disposal of project records.
Assist in preconstruction tasks — bid preparation, subcontractor outreach, purchase order setup, gathering signatures.
