Earth Systems has an opening for a Marketing/Proposal Coordinator for our Corporate office in San Luis Obispo.
The Marketing/Proposal Coordinator is a key member of the business development/marketing team supporting the full pursuit and capture process. The primary focus is the opportunity tracking, planning, scheduling, development, and finalization of responses to client requests for qualification, proposals, bids, and presentations that result in contract and/or project awards.
Education/Experience
- Associates or bachelor’s degree in Business, Marketing, Communications or in a related field.
- 3 years’ experience in marketing, preferably in the AEC industry, with related marketing, proposal writing, and social media management experience.

Knowledge and Skills
- Proficiency in Microsoft Office applications as well as familiarity with InDesign, Word Press, Photoshop, and other software in the Adobe Creative Suite.
- Exceptional written communication and editing/storytelling skills.
- Strong verbal communication skills.
- Excellent organizational skills and attention to detail with a strong commitment to quality.
- Proficiency in graphic design and photography a plus.
- Time management skills are critical. Able to prioritize and adjust schedule as necessary to complete deadlines in a fast-paced environment.
Primary Proposal Coordination Duties and Responsibilities:
- Draft proposal portions such as introduction, overview, project approach and cover letter.
- Develop proposals, SOQs and presentations to deliver materials meeting RFP requirements, quality standards, and overall strategy with support from Marketing and BD team.
- Support proposal development with project managers from capture to award.
- Frequent entry to internal proposal log to communicate status and needs of SOQ’s in process.
- Lead and help draft a checklist proposal process for RFP, RFQ award submittals.
- Track, follow-up, communicate award outcomes, and enter into CRM (Unanet).
- Consistent data entry to CRM for all SOQs, RFPs, RFQs, etc.
- Manage resumes and proposal reuse materials’ libraries.
- Interface with sub’s and prime to gather proposal document data.
- Develop shared directories for Request for Proposal information.
- Maintain proposal milestones schedule like issue and review dates, kickoff meetings and due dates.
- Ensure proposals are in compliance with all RFP criteria and requirements.
Secondary duties and responsibilities:
- Assist marketing coordinator with production efforts such as desktop publishing formatting, editing, printing, copying, tab/covers, producing binders and electronic media.
- Partner with the Marketing Coordinator to assemble and polish proposal content into a comprehensive, client-ready package.
- Create qualifications packages, project descriptions, and award submittals.
- Responsible for maintaining and updating company CRM, databases of resumes, project summaries, photographs, and employee certifications.
- Maintain and develop consistent company identity through document templates, letterhead and logo usage.
- Maintain project database of descriptions and photographs.
Marketing Coordination and Business Development Duties, and Responsibilities
- Frequently enter contact information to mass email platforms.
- Assists in the development, maintenance, and updating of company marketing materials i.e., brochures, resumes, and more.
- Assist in the process of developing ideas, composing, and posting company mass email and social media content.
- Assist in the production of the company newsletter and presentations.
- Assist in tradeshow, conference, and event coordination.
- Coordinates with outside vendors when necessary.
- Assists BD Manager in planning marketing strategies and objectives, participates in new market research, opportunities, design, and preparation of marketing reports.
- Assists in updating and organizing marketing library of published materials, marketing content, and social media content.

The expected pay range for this position is $30-35. Exact rate is dependent on several factors such as experience, skills, education/certifications, and geographic location.
Employment conditioned upon the satisfactory completion of a post-offer background check, review of Motor Vehicle Records, drug screening, and a medical evaluation appropriate to the position.
