**ABOUT THE ROLE**
Eagle Railcar Services is looking for a capable, proactive Office Manager to serve as the operational
backbone of our Eastland headquarters. This role keeps the office running smoothly, owns all incoming
and outgoing mail and correspondence, and acts as the primary communication bridge between
corporate and our 13 railcar maintenance shops across the network. The right person thrives on building
relationships, keeping information flowing, and solving problems before they become issues.
Key Responsibilities
**O F F I C E O P E R A T I O N S**
Manage day-to-day office functions including supplies, facilities coordination, and vendor
relationships.
Own the full mail and correspondence workflow sorting, routing, tracking, and processing
outbound shipments via FedEx, UPS, and USPS.
Maintain organized filing systems (physical and digital) for contracts, invoices, and corporate
records.
Coordinate executive calendars, meeting logistics, and travel arrangements for C-suite
leadership.
Handle sensitive and confidential information with the highest degree of discretion.
**S H O P N E T W O R K L I A I S O N ( 1 3 L O C A T I O N S )**
Serve as the primary point of contact between the Eastland office and each of the 13 shop
managers in the Eagle Railcar network.
Coordinate with Purchasing to track supply requests from shops, assist with order submissions,
and ensure timely fulfillment.
Follow up on open items, deadline-sensitive paperwork, and compliance submissions from shop
locations.
Build and maintain strong working relationships with shop managers to facilitate trust and open
communication.
**C R O S S - D E P A R T M E N T A L C O L L A B O R A T I O N**
Partner with IT to coordinate equipment requests, troubleshoot basic office technology issues,
and support onboarding logistics.
Work closely with Purchasing on procurement needs, vendor correspondence, and purchase
order tracking.
Support C-suite executives with administrative projects, reporting, and special assignments as
needed.
Assist with HR onboarding new employees at the Eastland office, including workspace setup and
orientation coordination
3-7 years of experience in office management, operations coordination, or an executive
assistant role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
Demonstrated ability to manage multiple priorities and meet deadlines independently.
Strong written and verbal communication skills.
High level of personal integrity and a proven track record handling confidential information with
discretion.
Detail-oriented with excellent organizational and follow-through skills.
**P R E F E R R E D**
Experience in manufacturing, transportation, industrial services, or a multi-site organization.
Familiarity with purchasing or procurement workflows.
Experience supporting executive leadership in a professional office setting
