Position Overview
We are seeking a highly organized, tech-savvy Office Assistant with experience in a construction or engineering company office environment, along with government contracting experience.
This role focuses on customer service, scheduling, and client coordination, while also supporting bidding efforts, internal operations, and light marketing/AI-driven tasks.
Key Responsibilities
- Serve as the primary point of contact for calls, emails, and client inquiries
- Coordinate and schedule site visits, consultations, and meetings
- Communicate with new leads and existing clients, ensuring consistent follow-up
- Assist with client onboarding and project setup
- Maintain organized project files, documents, and communications
- Support government bids, proposals, and document preparation
- Navigate platforms such as PlanetBids, SAM.gov, and local agency portals
- Track permits, compliance items, and project documentation
- Assist with basic marketing tasks (social media posts, follow-ups, lead tracking)
- Utilize AI tools (ChatGPT, Claude, etc.) to improve workflow efficiency, communication, and content
Qualifications (REQUIRED)
- Prior experience working as an assistant in a construction or engineering company (MUST)
- Experience with government/public contracting processes (MUST)
- Strong customer service and communication skills
- Experience with scheduling, coordination, and multitasking
- Highly organized and detail-oriented
- Professional and reliable
Preferred Qualifications
- Familiarity with bidding platforms (PlanetBids, BidNet, SAM.gov)
- Experience supporting public works or government-funded projects
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Experience with CRM or project management tools
- Familiarity with AI tools (ChatGPT, Claude, automation tools, etc.)
- Experience with marketing, lead generation, or client follow-ups
- Basic understanding of SEO, Google Ads, or online advertising
- Experience with CRM systems or project management tools
- Familiarity with construction/engineering workflows and terminology
