General Job Summary
The Grants Manager is responsible for managing the full lifecycle of grant and contract administration for Each Teach Inc., ensuring timely, accurate, and compliant reporting to government agencies, foundations, and other funding partners. This position serves as the organization's central coordinator for grant deliverables, reporting calendars, documentation, and performance tracking.
In addition to grants management, the Grants Manager provides high-level administrative coordination that supports the successful implementation of Each Teach's workforce development, professional development, and community wellness programs.
The successful candidate will complete Each Teach's facilitator certification process and become qualified to facilitate learning conversations using the organization's proprietary curriculum as organizational needs require.
This position is ideal for a highly organized, detail-oriented self-starter who thrives in a collaborative, wellness-centered environment and is skilled with using technology and artificial intelligence (AI) tools to augment (not replace human functions) and to improve efficiency, organization, and quality of work.
Essential Functions
● Grants & Contract Management
○ Manage all post-award grant and contract administration activities.
○ Prepare, coordinate, and submit accurate programmatic and performance reports to funding agencies.
○ Monitor grant deliverables, deadlines, budgets, and reporting requirements.
○ Maintain organized grant files, supporting documentation, and compliance records.
○ Coordinate data collection with program staff to ensure timely reporting.
○ Assist leadership with grant proposal preparation and renewal submissions as needed.
○ Monitor grant reporting calendars and proactively communicate upcoming deadlines.
○ Monitor program metrics and prepare reports for stakeholders and funding bodies.
● Program Operations
○ Coordinate administrative activities that support the successful implementation of organizational programs.
○ Develop and maintain internal systems, templates, trackers, and standard operating procedures.
○ Schedule meetings, prepare agendas, document action items, and follow through on assignments.
○ Assist with logistics for trainings, community conversations, and professional development events.
○ Support continuous quality improvement and organizational accreditation activities.
○ Consistently work to apply a lens of equity, inclusion, and antiracism.
● Facilitation
○ Successfully complete Each Teach's facilitator certification program.
○ Facilitate learning conversations using Each Teach's proprietary curriculum as assigned. Must have in-person availability on Tuesdays and other select days to perform in-person.
○ Participate in facilitator coaching, ongoing professional development, and curriculum fidelity activities.
● Technology & AI
○ Use artificial intelligence tools (such as ChatGPT, Microsoft Copilot, or Google Gemini) responsibly to improve writing, organization, planning, data management, meeting preparation, and administrative efficiency.
○ Demonstrate sound judgment by reviewing, editing, and verifying AI-generated content prior to submission.
● Organizational Responsibilities
○ Work collaboratively across departments.

○ Maintain confidentiality and comply with HIPAA and organizational policies.
○ Perform additional duties as assigned.
Knowledge, Skills & Qualifications
Minimum Qualifications
· Bachelor's degree preferred. Associate degree or substantial college coursework in nonprofit management, public administration, business, communications, social sciences, or a related field will be considered.
· Minimum of 2 years of experience in grants administration, nonprofit operations, project coordination, or administrative management.
· Experience preparing reports for grants, contracts, or government funding preferred.

· Outstanding administrative and organizational abilities with exceptional attention to detail.
· Demonstrated ability to manage multiple projects and competing deadlines with minimal supervision.
· Strong interpersonal skills and a commitment to relationship-centered communication.
· High level of professionalism, discretion, and confidentiality.
· Proficiency with Microsoft Office and cloud-based collaboration tools.
· Comfortable using AI tools (such as ChatGPT) to augment productivity, writing, planning, and administrative workflows.
· Strong critical thinking skills with the ability to review and verify AI-generated work.
· Ability to work independently while contributing positively to a collaborative, wellness-centered workplace.

Supervisory Requirements:
This position may supervise frontline staff members, including peer support specialist, employment specialist, and/or other direct service team members.
Typical Physical/Mental Demands and Working Conditions
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role, however, some moving about the office is required which would require the ability to move files, carry office supplies, open filing cabinets and bend or stand as necessary.
This role may require travel to other locations for meetings and other business-related needs. Ability to travel locally 60% of the time is required. It is important to have access to some form of transportation to travel to off-site meetings, conferences, and site visits.
