BASIC JOB DESCRIPTION

Seeking a reliable individual that can fulfill a need for a detail-oriented Administrative & Bookkeeping Coordinator to manage core QuickBooks financial processes (A/P, A/R, reconciling accounts, etc.), record sales in our internal sales intake operations and facilitate the day-to-day functions of a small office.

We plan to have a 2-3 month overlap for onboarding training. Dynamic Bulk Systems is a manufacturers’ representative and distributor of custom engineered industrial equipment. Our company has successfully and continuously grown since our founding over 33 years ago. We generally service the Midwest region from our Fenton home office, supporting our customer base of large and small area manufacturers and engineering firms. ABOUT THE JOB - KEY RESPONSIBILITIES:

  • This role requires accurate and timely bookkeeping, timely invoicing, accurate accounts payable processing, consistent accounts receivable follow-up, and organized administrative systems.
  • Manage daily office operations, including front desk responsibilities, multi-line phone systems (direct calls to the appropriate person), and greeting visitors with professionalism and warmth.
  • Process all inbound requests via phone, online, and e-mail, to the appropriate inside or outside salesperson.
  • Bookkeeping duties include:
  • Post deposits, receipts, and disbursements; reconcile bank accounts and credit card statements. Process deposits via scanner or mail.
  • “Write” checks via QuickBooks, record in correct accounts, print, get signed, and then mail. Post supplier invoices to correct jobs, verify profit margin.
  • Prepare and transmit quarterly sales tax returns.
  • Create and send customer invoices – usually once per week.
  • Ensure receipts are properly captured and coded in QuickBooks.
  • Maintain vendor records and manage accounts payable.
  • Monitor accounts receivable and follow up on overdue balances.
  • Assist our outside CPA firm with year-end closing procedures, audit preparations, and tax filings as needed for year-end statements.
  • Maintain written SOPs for recurring financial processes.
  • Order entry and maintenance in our internal recordkeeping systems.
  • Maintain accurate filing systems—both physical and digital—and ensure confidentiality of sensitive information.
  • Organize company events and meetings to promote team engagement and morale.
  • Ensure office supplies are stocked, and equipment is maintained to support seamless daily operations.

REQUIREMENTS:

  • High school diploma or equivalent (Required).
  • Coursework or certification in bookkeeping, accounting, or finance (helpful).
  • Reliable transportation
  • QuickBooks experience. Familiarity with Microsoft Word and Excel.
  • Bookkeeping or accounting experience.
  • Strong attention to detail and process discipline.
  • Comfortable communicating professionally by phone and email.
  • Secure in learning and using cloud-based software tools.
  • Ability to work independently and manage recurring responsibilities.
  • Willingness to supply information needed for a background check.

COMPENSATION AND SCHEDULE OFFERED:

  • 40 hours per week in Fenton office
  • Normal hours are 8:00 AM - 4:30 PM
  • Flexible days/times, hybrid work setting, or part-time for the right candidate.
  • Competitive pay based on experience ($52,000-$66,000 per year)
