Position Summary
The Project Coordinator supports the successful execution of projects by coordinating with customers, vendors and internal teams, monitoring project status, managing project documentation, and ensuring accurate and timely delivery of project-related information. This role requires strong organizational skills, attention to detail, clear communication, a solution-oriented mindset, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
Project Coordination & Communication
- Communicate project status regularly with customers, vendors, sales staff, and internal departments.
- Work on special assignments and support various projects while managing day-to day responsibilities.
- Coordinate with cross-functional teams to ensure alignment and timely execution of tasks.
Vendor Coordination & Procurement Support
- Request, review, and negotiate pricing, delivery schedules, and payment terms with vendors.
- Release items-to-procure to meet project needs.
- Verify inbound and outbound parts, equipment, or assemblies for accuracy, quality, and functionality.
Document Management
- Prepare and assemble submittals, operation manuals, change order requests and other project-specific documentation.
- Assist with reviewing and executing customer purchase orders and material contracts
- Submit preliminary notices, conditional/unconditional lien releases, and stop payment notices
- Compile project summaries and close-out documents upon completion.
Qualifications
Required Skills & Experience
- Strong organizational skills with the ability to prioritize, multitask, and follow through effectively.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Project) and Adobe Acrobat.
- Ability to analyze plans, specifications, drawings, and technical documents.
- Strong verbal and written communication skills.
- Highly collaborative and team oriented.
- Strong interpersonal skills.
- Proactive & solution-oriented mindset
- Self-motivated with the ability to work both independently and within a team.
- Resilient and resourceful in overcoming challenges
Preferred Skills
- Experience with Procore or similar construction/project management software.
- Experience with Epicor Prophet 21 or comparable ERP systems.
- Experience with Levelset or similar lien & waiver management software.
- Experience in project management within the construction space.
- Background in mechanical engineering, electrical engineering, civil engineering, or some other type of technical field.
Additional Information
- Pay: $25.00 - $35.00hr, DOE
- Physical Demands: Includes sitting, walking, standing, and driving (occasionally).
- Working Conditions: Primarily office-based with periodic exposure to warehouse
- environments, vendor locations, and job sites.
- Training / Certifications: None required; training provided.
- Schedule: Full-time.
- Travel: Occasional local travel to vendors and job sites.
- Education: High school diploma required; College degree in technical field/engineering is preferred.
