This role is responsible for coordinating service jobs, maintaining accurate records in the P21 system, tracking labor and productivity, supporting shop and field personnel, and ensuring timely communication between sales, vendors, and management. The CSC plays a critical role in maintaining workflow efficiency, job accuracy, and service quality.

Job Summary
The Customer Service Coordinator (CSC) provides administrative, operational, and customer support for the service department. This role is responsible for coordinating service jobs, maintaining accurate records in the P21 system, tracking labor and productivity, supporting shop and field personnel, and ensuring timely communication between sales, vendors, and management. The CSC plays a critical role in maintaining workflow efficiency, job accuracy, and service quality.
Responsibilities of the Customer Service Coordinator include, but are not limited to:
- Enter and manage service jobs, service orders, labor hours, and freight charges in the P21 system.
- Request and track parts quotes; ensure parts and materials are properly allocated to jobs.
- Coordinate job scheduling, update the shop calendar, and monitor job progress to prevent delays.
- Track billable and non-billable hours and report productivity updates to the Shop Manager.
- Generate packing slips and support job closeout activities.
- Maintain documentation for field service personnel, including certifications, badges, and safety records.
- Manage shop, field, and office supply inventory; order materials and supplies as needed.
- Support training coordination, refinery badge enrollment, and travel arrangements for shop personnel.
- Provide administrative and operational support to the Office Manager, Shop Manager, and General Manager.
- Follow up with sales, vendors, and internal teams on open jobs and pending purchase orders.
- Strong organizational and time-management skills with attention to detail
- Proficiency with ERP systems (P21 experience preferred) and Microsoft Excel
- Ability to manage multiple priorities in a fast-paced service environment
- Strong communication and follow-up skills
- Ability to work collaboratively with shop personnel, field technicians, sales, and management

- Physical Demand: Standard office environment; occasional shop & Field visits as needed
- Working Conditions: Office environment and Occasional shop and field visits.

- Shift Time/Overtime: Normal in-person business hours, Monday–Friday (Occasional OT or weekend work)

- Education: Bachelor’s degree preferred but not required
