Sample Accessioner/Laboratory Administrative Assistant – Entry Level
Job Summary
We are seeking a detail-oriented and reliable Sample Accessioner/Laboratory Administrative Assistant to support daily operations in our clinical laboratory. This entry-level role is responsible for receiving and accessioning patient specimens, entering data into our Laboratory Information Management System (LIMS), and communicating with internal teams and client offices to resolve missing or incomplete information.
This is an excellent opportunity for someone interested in healthcare operations, laboratory environments, or medical administration. Training is provided on site.
Key Responsibilities
Specimen Receiving & Accessioning
- Receive and verify incoming specimens for proper labeling, condition, and completeness
- Deliver specimens to Clinical Laboratory Scientists (CLS) per established workflow
- Document shipping details and update receiving, tracking, and status logs
- Identify and escalate damaged, leaking, or improperly packaged specimens
Data Entry & Documentation
- Accession specimens into the LIMS accurately and timely
- Enter and verify patient demographics, insurance information, ICD-10 codes, medications, and test orders
- Maintain and update daily tracking spreadsheets and logs
Order Review & Quality Checks
- Review requisitions for completeness and required information
- Check for missing or mismatched medications using approved databases
- Flag medical necessity gaps or discrepancies for review (non-clinical role)
Communication & Follow-Up
- Communicate specimen status with the laboratory and billing team
- Contact client offices to obtain missing or corrected order information
- Track outreach via call logs and follow up until resolution
Compliance & Safety
- Follow CLIA, HIPAA, and laboratory safety requirements
- Adhere to SOPs, quality standards, and turnaround times
- Maintain a clean and organized workspace
Qualifications
Required
- High School Diploma or equivalent
- Strong attention to detail and organizational skills
- Basic computer skills (data entry, email, spreadsheets)
- Ability to follow written procedures and work in a regulated environment
- Professional communication skills
Preferred (Not Required)
- Experience in a laboratory, medical office, or healthcare setting
- Familiarity with LIMS (Ovation), EHRs, or medical terminology
- Interest in laboratory science or healthcare operations
Education & Training
- Entry-level position — on-the-job training provided
- No certification required
