Purchasing and Inventory Specialist—Fresh Buyer (Reports to: Branch Manager and General Manager)
JOB DESCRIPTION
The Purchasing and Inventory Specialist also known as the Fresh Buyer procures all fresh flowers sold in the Denver Wholesale Florists branch. This position is critical to Denver Wholesale Florists; the Buyer purchases flowers, sets price, identifies promotions, and monitors inventory and quality control which ultimately impacts the revenue and long-term profitability of DWF Wholesale Florists.
RESPONSIBILITIES:
PURCHASING
- Meets goals for sales, margins, dump, turn, write-off as set by corporate. Margins will need to be within company benchmark.
- Secures fresh flowers to fulfill orders for retail, mass market, and event customers, daily.
- Reviews sales reports and history to understand product sell through and inform purchasing
- Directs receiving team reviewing products/packing slips and verifying quantity, color, price, and products are accurate as per order, and inputs data to the system with 100% accuracy.
- Reviews and approves invoices for pricing and quantity and matches to shipping manifest 100% of the time.
- Immediately photographs product(s) with quality issues and sends to shipper/vendor to initiate a credit memo.
- Contacts shipper/vendor to confirm accuracy of products being shipped.
- Contacts shipper/vendor for missing product and procure replacement in an expedited manner.
- Monitors and rotates inventory daily while checking quality to ensure product is fresh; shrink must be less than 3%.
- Orders flowers for wedding events; tallies order on master sheets and communicates arrival dates to sales.
- Ensures data integrity (invoices, purchase orders, UPC codes) to meet customer specifications and creates PO’s in DWF software system.
- Ensures unique product number matches DWF item number, 100% of time.
- Identifies new product offerings by partnering with vendors and growers via telephone/email.
- Monitors competition by gathering current marketplace information on pricing, new/existing products, and merchandising techniques, etc. and reports to supervisor on a monthly basis.
- When directed/assigned by Branch Manager, travel to various trade shows to review new product offerings and evaluate competitor products.
- Ensures that product is pulled using existing inventory whenever possible from the cooler, maximizing rotation of fresh product.
- Manage, direct and participate in fresh product dump, and report findings to Branch Manager. Dump will occur, at minimum, twice per week.
- Manages standing orders and makes adjustments based upon product demands; adjustments may be necessary to maintain healthy inventory levels.
- Oversees floral processing ensuring proper techniques and cleanliness are maintained, as well as ensuring fresh product is stored within optimal conditions. (i.e. Dosatron, cooler temperature, clean cutting instruments, etc.)
- Responsible for continuous communication with sales team on status of standing orders, special orders to include any discrepancies, delays or opportunities.
- Works in unison with sales team to move excess product or slow-moving product to reduce dump.

- Meets with supervisor on a regular basis to review projects and outcomes.
- Brings issues and solutions to supervisor within 24 hours.
- Hands on member of the branch team; pulls orders, cleans coolers, and does other duties as required.

- Minimum of three (3) years of purchasing experience, required.
