We are seeking an experienced and proactive Maintenance Manager to lead and oversee all maintenance operations across our property portfolio. This role is responsible for ensuring that all buildings, systems, and equipment are maintained to the highest standards of safety, efficiency, and reliability. The ideal candidate will bring strong leadership skills, technical expertise, and a commitment to delivering excellent service, ensuring that maintenance activities are completed promptly with minimal disruption to tenants.

As a key member of the team, the Maintenance Manager will supervise staff, manage vendor relationships, control budgets, and implement preventive maintenance programs to protect and enhance the value of our properties. This position requires a hands-on leader who can effectively prioritize tasks, respond to emergencies, and maintain compliance with all applicable regulations while fostering a culture of accountability and continuous improvement.

Key Duties & Responsibilities

Oversee and coordinate daily maintenance operations across all properties, ensuring all work orders are completed accurately, efficiently, and within established timelines.
Prioritize and assign maintenance tasks based on urgency, safety concerns, and operational needs to minimize disruption to residents.
Supervise, train, and support maintenance staff, fostering a productive and safety-focused work environment.
Develop and implement a comprehensive preventive maintenance program to ensure optimal performance and longevity of all building systems and equipment.
Ensure routine servicing and upkeep of HVAC, plumbing, electrical systems, appliances, and other critical infrastructure to prevent unexpected failures.
Schedule, track, and monitor regular inspections, maintenance activities, and repair projects.
Prepare and manage maintenance budgets for each property, ensuring cost-effective use of resources and adherence to financial goals.
Review and approve purchase orders for maintenance supplies, equipment, and services in alignment with company standards.
Establish and maintain strong relationships with third-party vendors and contractors, including negotiating contracts and monitoring service quality and compliance with agreements.
Evaluate vendor performance to ensure work is completed on time, within scope, and to required quality standards.
Conduct employee performance evaluations, provide ongoing feedback, and identify training and development opportunities for maintenance staff.
Ensure all team members follow safety protocols, properly use equipment, and adhere to industry best practices.
Respond promptly to tenant maintenance requests and ensure issues are resolved efficiently while maintaining high levels of customer satisfaction.
Communicate clearly with tenants regarding maintenance updates, timelines, and follow-up actions.
Implement and maintain systems for tracking work orders, maintenance requests, and completion status.
Ensure full compliance with all local, state, and federal regulations, including building codes, health, and safety standards.
Conduct routine safety inspections of properties, including fire safety systems, elevators, and structural components.
Maintain accurate and organized records of maintenance activities, expenses, vendor invoices, and warranties.
Prepare and present reports on maintenance performance, budget tracking, and operational improvements to senior management.
Develop and enforce emergency response procedures for critical incidents such as flooding, fires, and system failures.
Ensure the maintenance team is properly trained and equipped to respond effectively to emergency situations.
