dWELL is an affirming recovery housing on a mission to support young adults on their transition to independence with residences and a community based approach that supports growth and healing. Since 2020, we have supported young adults with our personalized and foundational skills-based approach to help young adults pursue their individual life goals. We are seeking a hands-on, detail-driven Assistant Director of Operations to support both our Quality Assurance (QA) program and day-to-day operational flow. Using data to strengthen our practice, the ideal candidate will be comfortable navigating technology and possess program analysis capabilities.Position Summary:The Assistant Director of Operations is a strategic leader responsible for managing administrative functions, facilities operations, and ad-hoc projects within a fast-paced recovery housing program. This role works closely with the Assistant Directors of the Main House and TLP programs to ensure alignment and consistency across sites and services. Reporting to the Program Director, the Assistant Director collaborates with cross-functional stakeholders to address both immediate issues and long-term operational trends, while continuously refining and implementing standard operating procedures to promote clarity, compliance, and staff accountability.Responsibilities include:Lead internal audits, data reviews, and quality assurance initiatives to ensure program integrity, documentation accuracy, and service excellence across all operational areasPartner with leadership to design, refine, and implement systems and workflows that strengthen organizational performance, compliance, and client outcomesProvide operational oversight across facilities, technology, finance, records and internal processes, using a data-informed lens to proactively identify trends, resolve issues, and drive process improvementManage all aspects of facilities operations, including vendor relationships and agreements, maintenance coordination, and site safety (e.g., fire extinguisher/first aid inspections, safety drills)Oversee and approve monthly expense reporting for all corporate accounts by properly maintaining Google Sheets of budget, reconciling all site expenses in Fyle and providing expense substantiationManage all aspects of client charting, including new client admissions and dischargesManage turnover of beds and room preparation for new resident arrivalConduct Quality Assurance Reviews (audits) to confirm the documentation of ongoing residents are accurate and up-to-dateManage key budgets and expenses by locationLead overall accounts payable and receivablesManage supply inventory, ordering and stocking of all BioReference Laboratory suppliesManage IT partner for daily operations and manage on-site technology troubleshooting with support from IT (Wifi connectivity, printer / scanner, ViewSonic projector etc)Identify areas of process improvement as it relates to day-to-day business and facility operationsResponsible for maintaining and ensuring compliance with client and company confidentiality standards and ethical expectationsParticipate in critical incident investigations and reviewsTrain new staff on program policies, procedures, and documentation expectationsMaintains credit card, debit card and petty cash in a secure location for approved team use as well as a secure repository for credit card receiptsOther responsibilities as assigned by Program Director Required Qualifications:Ideal candidate has at least 3 years of related experience in adolescent or young adult treatment Center, preferably in an administrative, quality assurance or operations role in a residential settingBachelor's degree in business, public policy, finance, human resources or other related field, preferredHighly organized, process-oriented, with the ability to effectively prioritize, multi-task and be a self-starterMastery of Google Programs and other computer skills including Fyle and/or other receipt processing and budget management softwarePossess superb project management, organization and prioritization skillsStrong interpersonal, customer service and problem solving skillsAbility to think creatively, innovate, demonstrate initiative and follow throughClear and effective verbal and written communication skillsPursue everything with energy and drive; ability to guide others for resultsExperience with program auditing and analyzing results to produce findings, make recommendations, and follow-up to reach outcomes is a plusExperience conducting qualitative and/or quantitative research is a plusKnowledge of statistical techniques for predictive analytics is a plusAbility to work overtime and occasional weekend work as needed Ability to participate in on call coverage rotation for a week once a month Must be able to lift and transport moderate to heavy items (up to 50 pounds) as part of room setup, resident move-ins, stocking supplies and related responsibilitiesWhat We Offer: Full benefits including comprehensive medical, dental, vision and a 401K with up to 3% company match, fully vested after 3 years Flexible PTO - for a team that’s rested, recharged and feeling their bestHands-on, creative, team-based work environment in the heart of New York CityWe are family-owned and operated, offering a close-knit culture that emphasizes teamwork, trust, and a personal connection with every member of our team12 weeks Paid Parental Leave following a full year of service - providing support and flexibility during life’s most important momentsSchedule: Monday & Tuesday 11a-7p, Wednesday 9a-5p, Thursday & Friday from 8a-4pCompensation: $90,000-$100,000 (commensurate on experience)dWELL Recovery  is an equal opportunity employer.
