Description
Do Great Things! Durham Technical Community College is hiring a Program Specialist in the Health and Wellness Department. The Program Specialist, Health and Wellness supports the successful implementation of continuing education (CE) offerings within the Health and Wellness department. The position is vital for the growth and compliance of our CE offerings and support of our students completing CE credentials.
Examples of Duties
Student Communication and Registration:
- Monitor and respond to assigned program emails, Element451 messages, and calls daily and follow appropriate triage and action;
- Register students into appropriate courses and/or programs and process class transfers, withdrawals, and refunds as applicable;
- Assist students with completing payment for course registrations;
- Communicate with students in reference to course cancellations, date changes, and/or declined payments;
Course Administration:
- Responsible for entering appropriate data into college systems and keeping up-to-date with any training/changes;
- Compile attendance rosters for all classes for audit purposes;
- Assist in the scheduling of continuing education courses including section numbers, rooms, etc. and monitor the course section build spreadsheet for accuracy;
- Recommend policies, procedures and regulatory controls to achieve and maintain the highest quality of instruction in all areas of program operations.
- Assist in the maintenance of course folders for all Continuing Education courses within the Health and Wellness department;
Data, Records, and Compliance:
- Track instructor assignments and work with Administrative Assistant, Health and Wellness to develop and retain copies of instructor contracts;
- Maintain complete office and student records, as needed; processing reports, forms, and all other required paperwork in a timely, efficient manner, checking for the accuracy, correctness, and completeness of all data;
- Assemble and maintain content of all courses audit files (i.e., contract copies, grade reports, registration forms, etc.), and coordinate proper storage, and security of all course files.
General Expectations:
- Responsible for learning the college systems and implementing new procedures and processes to continue the workflow of responsibilities in processing contracts, entering grades, running reports, and maintaining course audit files.
- Assist with collecting and tracking outcome data. Evaluate programs for course improvements;
- Enforce academic policy and procedures and comply with all departmental/divisional and/or institutional rules, regulations, policies, procedures, and guidelines
- Maintain and process all paperwork in a timely and efficient manner, checking for correctness and accuracy of all data.
- Maintain effective, collaborative, and productive relations at all times with all other units of the department, the division and the college.
- Participate in program, departmental, divisional, and institutional meetings and other announced activities including program recruitment;
- Fulfill committee/task force participation and other special appointments within the educational community as well as the community - at - large, and otherwise giving appropriate support to institutional endeavors;
- Additional duties shall include other appropriate activities as assigned by Program Directors, Dean, and Vice President, and/or the President in meeting the needs of the program, department, division, and the College.
Minimum Qualifications
- Associate’s degree from a regionally accredited institution of higher learning
Work Experience:
- Minimum of two years’ administrative assistance experience in a professional setting

- Experience and high-level proficiency with college student information systems (e.g. Colleague), Windows, Microsoft Office (Word, Excel, Access, and PowerPoint 2010 or above) and basic query language.
